The Office of New Student Initiatives at the University of Nevada, Reno is seeking a dynamic, customer-service oriented Administrative Assistant 3. This position does not provide layoff rights and is contingent upon funding. The Administrative Assistant 3 will support incoming students and their families transitioning to UNR campus life at New Student Orientation, Welcome Week, and many other events and programming for new students. This role serves a critical role as office manager and has a unique opportunity to positively promote campus life and help students and their families establish a connection and sense of inclusion with the university and the campus. The ideal candidate will be a detail-oriented problem solver who can shine in a fast-paced environment while handling multiple responsibilities, with enthusiasm for working with young adults and their families.

Duties include, but are not limited to :

  • Maintain registration management system and processes for 6000+ orientation participants; collect orientation data and run reports for distribution to campus partners; coordinate an integrated email and text communication plan to students and families across multiple orientation platforms.
  • Maintain event planning, program logistics, and project coordination : plan and organize recurring projects in coordination with campus partners; coordinate events with campus partners and vendors; track logistical aspects of all NSI programs including concurrent Zoom sessions and webinars.
  • Provide administrative support : staff the front desk and greet / direct visitors; provide administrative assistance to the Assistant Dean of Students; assist with managing and updating content for the NSI suite of web pages.
  • Provide personnel support : organize, coordinate, and assist in staff, faculty, and student worker recruitments; manage student worker hiring, documentation, and payroll; train and schedule student staff; assist in new hire onboarding. Train, schedule, and supervise student workers.
  • Account maintenance : prepare, submit, reconcile, and encumber NSI budgets; manage registration payments and refunds; manage purchasing cards and monitor spending; handle travel requests and related financial transaction.
  • Provide customer service and problem-solving support to students and guests during the orientation registration process; field high volume of phone calls and emails relating to the registration process.

Required Qualifications :

  • Graduation from high school or equivalent education and three (3) years of progressively responsible relevant work experience which included experience in one or more of the following areas : maintenance of complex records and files; public / customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR One (1) year of experience as an Administrative Assistant II in Nevada State service; OR An equivalent combination of education and experience.
  • Preferred Qualifications :

    Candidates with experience in accounting and budget management, Microsoft Office Programs (Outlook, Excel, PowerPoint and Word), customer service, supervising employees, working in health and human services, enrollment management, counseling services, police services and / or similar area(s) are encouraged to apply.

    The typical work schedule is Monday through Friday from 8 : 00 am to 5 : 00 pm; this is subject to change based on organizational needs.

    In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate's qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
