Staffing Coordinator-S (Healthcare)

Responsibilities
- Administrative Functions : Maintain a current listing of all resident care employee phone numbers; update the business office with current posting of department managers' phone numbers; maintain daily tardy and absenteeism calendars; report to the Director of Nursing Services (DNS) all employees with excess tardiness or absenteeism in accordance with facility policy; schedule modified work duties with Human Resource Director and DNS; complete nursing department employee records upon hiring, job reclassification and discharge; assist employees in accurate completion of forms (leave and day off requests, time cards, etc.) pertinent to scheduling and staffing; complete monthly nursing schedule coordinating requests; complete and post work sheets / time schedules; coordinate variances with the DNS; assist in completion and filing of designated reports; perform miscellaneous duties pertaining to staffing and assist nursing supervisory personnel as necessary; answer employee calls regarding staffing / scheduling functions; prepare written correspondence; answer applicant calls regarding position availability and coordinate interviews as deemed appropriate; ensure newly hired nursing staff have time cards and schedules prior to orientation date; assist in obtaining nursing care staff information needed for daily posting requirements; consult with nursing department staff and supervisors concerning staffing / scheduling needs to assist in elimination / correction of problem areas and / or improvement of services; make written / oral reports / recommendations to the DNS concerning staffing and scheduling issues; develop and maintain a good working rapport with interdepartmental personnel and other departments within the facility; ensure administrative functions are carried out promptly for efficient operation; assist in standardizing methods in which work will be accomplished; review complaints and grievances pertinent to scheduling and staffing; make necessary oral / written reports to the DNS; perform other related duties and responsibilities as necessary to meet the needs of the facility.
- Compliance and Confidentiality : Agree not to disclose assigned user ID code and password for accessing resident / facility information and promptly report suspected or known violations; agree not to disclose resident's protected health information and promptly report suspected or known violations; report any known or suspected unauthorized attempts to access the facility's information system.
- Committee Functions : Attend facility committee meetings (safety, recruitment and retention, etc.) as required; collect / assemble records for committee / DNS review and prepare reports of nursing department labor issues; implement committee recommendations as instructed.
- Personnel Functions : Assist in interviewing CNAs; create and maintain a warm, positive, calm environment; assist in recordkeeping and documentation of attendance and tardiness for employee performance appraisals; confirm licenses / certifications for all new hires prior to orientation; maintain confidentiality of employee information; maintain records of current certifications / licenses; report known or suspected incidents of fraud; ensure computer workstations are logged off or password-protected when unattended.
- Staff Development : Provide orientation schedules for newly hired nursing personnel and assign staff members to provide orientation; facilitate quality orientation by communicating schedule to unit manager / staff; attend in-service training programs; assist with recordkeeping for in-service education and orientation classes.
- Safety and Sanitation : Report unsafe / hazardous conditions or defective equipment to supervisor; follow safety procedures when operating office equipment.
- Equipment and Supply Functions : Ensure supervisory supplies are replenished; report equipment / supply needs; keep work areas clean and properly stored.
- Budget and Planning Functions : Report suspected fraud related to false billings, cost reports, kickbacks, etc.
Qualifications
Education and / or Experience : Must possess, as a minimum, a high school education or its equivalent.Language Skills : Must be able to read, write, speak, and understand English. Ability to read technical procedures.Mathematical Skills : Ability to apply fractions, percentages, ratios and proportions to practical situations.Reasoning Ability : Must be a supportive team member; able to make independent decisions when warranted; able to work harmoniously with others; patient, tactful, cheerful, and enthusiastic; willing to adopt new methods and principles.Physical Demands : Must be able to move intermittently; speak and write clearly; cope with mental and emotional stress; see and hear adequately; relate information about residents; able to push / pull / move / carry at least 25 pounds; may assist in evacuation during emergencies.Work Environment : Works in the nursing service area; subject to interruptions; interacts with residents, staff, and others; may work beyond normal hours; may be called back during emergencies; exposed to various risks and environmental conditions including infectious waste and chemicals.Supervisory Requirements
As Staffing Coordinator, you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties.
