Front Desk / Office Assistant

Responsibilities :
- Act as the first point of contact for visitors and clients, providing a welcoming and professional experience.
- Answer and direct phone calls, responding to inquiries or transferring calls to the appropriate departments.
- Maintain a clean and organized front desk and common areas, ensuring a positive and professional office environment.
- Manage scheduling for office appointments, meetings, and conference room bookings.
- Provide administrative support to various departments, including data entry, filing, and document preparation.
- Assist with incoming and outgoing mail and deliveries, including distributing mail and preparing shipments.
- Monitor and order office supplies to ensure adequate stock and functionality of office equipment.
- Handle basic bookkeeping tasks, such as processing invoices or tracking departmental expenses.
- Coordinate the setup of meetings and events, including ordering catering or creating materials as needed.
- Support other team members with tasks or special projects as assigned by management.
Requirements :
Experience : Prior experience in an administrative, office support, or customer service role is preferred.Education : High school diploma or GED required; some college coursework a plus.Technical Proficiency : Familiarity with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office equipment (e.g., printers, phones).Communication Skills : Excellent verbal and written communication skills, with a professional and friendly demeanor.Organization : Strong time management and organizational skills with excellent attention to detail.Problem Solving : Ability to work independently and troubleshoot minor issues efficiently.Adaptability : Able to manage multiple tasks while remaining calm and focused in a dynamic environment.Customer Service : Enthusiastic and customer-focused, with patience and a positive attitude.
