This is not a traditional estate manager or assistant role; you will be the owner of all home and personal operations, seamlessly elevating the Principals lifestyle and overall household experience. Key Responsibilities Build, document, and own all household systems (Home Bible) from scratch: process design, protocols, and SOPs Serve as the single point of accountability for all operations; proactively manage, report, and solve for ambiguity Strategically support the Principal and family in every detail: routines, hospitality, dietary needs, wardrobe, and pet care Oversee staff management: recruitment, training, supervision, and positive team engagement (domestic, chef, contractors) Manage household finances: bill payment, budget tracking, vendor negotiation, expense management, and reporting Spearhead all administrative systems: medical and personal schedules, reminders, online account/utility management, and secure document handling (1Password proficiency a must) Maintain rigorous privacy and confidentiality: manage PO/virtual boxes, pseudonyms, address confidentiality, digital/physical security, and vendor compliance Plan, manage, and execute all household events: guest lists, invitations, hospitality, security, and logistics for parties, dinners, poker nights, and large-scale hosting Orchestrate extensive travel logistics: domestic/international booking, group travel planning, last-minute adjustments, points/rewards optimization, and legal/travel doc management Own specialized operational projects: aviation coordination, legal/LLC/finance documentation, estate asset management Must-Have Skills & Experience Minimum 8 years in estate management, luxury hospitality, or high-profile private/family office operations Proven systems builder: documented success creating and optimizing home/service protocols and managing multi-stakeholder environments Action-oriented, high-ownership leader with independent problem-solving ability and relentless follow-through Executive communication: exceptionally clear, proactive reporting and stakeholder management Advanced technical fluency in digital/project management platforms, home automation, AV troubleshooting, and secure online credential management Staff leadership: hands-on experience supervising and engaging multi-role domestic teams Uncompromising discretion: strong privacy/family security track record, both digital and physical Financial stewardship: expertise handling bill pay, vendor negotiation, expense optimization, and transparent reporting Ideal Profile (Score 910 Candidates) Executive-level, principal-facing Chief of Staff or high-level Estate Manager with large private home/family office experience Owners mindset: proactive, autonomous, and solution-driven Mastery of operational, digital, and hospitality details; strong luxury service ethos Unfailing positivity, emotional intelligence, and capacity to set the tone for a harmonious home Ability to anticipate and deliver on even unspoken Principal and family preferences Preferred Qualifications Extensive experience in fast-changing, high-demand private environments Experience managing household aviation or complex asset portfolios Highly competitive salary ($200,000-$350,000 DOE) #J-18808-Ljbffr
