Vehicle Assets Specialist

Duties and Responsibilities

  • Maintain accurate vehicle asset records including titles, registrations, license plates, and ownership documentation.
  • Scan, file, organize, and maintain electronic and physical vehicle documentation.
  • Coordinate vehicle registrations, renewals, title transfers, and related compliance activities.
  • Prepare and distribute vehicle documentation, registration packets, and license plates to field personnel.
  • Maintain registration expiration dates and vehicle records within fleet management systems.
  • Enter, update, and validate vehicle asset information in SharePoint and fleet management databases.
  • Generate reports from fleet maintenance and asset management systems to support vehicle lifecycle planning and replacement decisions.
  • Assist with vehicle disposal activities, including coordinating auction documentation, collecting required vehicle information, preparing release notices, and communicating with auction vendors.
  • Support monthly expense reconciliation and reporting; experience with Concur is considered an asset.
  • Assist with maintaining fleet records and ensuring data accuracy across multiple business systems.
  • Respond to inquiries from field personnel regarding vehicle documentation and fleet asset records.
  • Support continuous improvement initiatives related to fleet administration and asset management processes.
  • Provide administrative support for fleet-related projects and other duties as assigned.

Required Skills / Capabilities and Education

Required

  • High School diploma or equivalent required with 02 years of relevant experience in administrative support, fleet operations, asset management, logistics, or a related field.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong written, verbal, and interpersonal communication skills.
  • Proficient in Microsoft Office Suite, particularly Excel and Outlook.

Preferred

  • High School diploma or equivalent required with 2+ years of relevant experience in administrative support, fleet operations, asset management, logistics, or a related field.
  • Associate's or Bachelor's degree in Business Administration, Supply Chain, Logistics, or a related field.
  • Experience with SharePoint, SAP, Fleetio, Geotab, or Concur.
  • Ability to quickly learn new software applications and business systems.
  • Customer service oriented with the ability to work collaboratively across departments.
  • Demonstrated problem-solving skills and the ability to work independently with minimal supervision.
  • Ability to maintain confidentiality and manage sensitive documentation.

Working Conditions

  • The incumbent spends the majority of time sitting or standing while performing computer-based work with the opportunity to move throughout the day.
  • Ability to remain in a stationary position for extended periods while performing administrative tasks.
  • Occasional lifting of files, office supplies, or packages up to 25 pounds.
  • Occasional travel may be required to support fleet operations, vehicle inspections, or company meetings.
  • Occasional visits to industrial or manufacturing facilities requiring the use of appropriate personal protective equipment (PPE).
