Job description

Financial Specialist

The Financial Specialist supports Springboard's financial health and operational effectiveness by leading day-to-day bookkeeping functions, administering Springboard's Incubator program (fiscal sponsorship), and managing contract workflows across programs. This role ensures accurate transaction processing, strong documentation practices, timely invoicing and payment tracking, and effective use of financial and contract management systems. The Financial Specialist reports to the Operations & Finance Director and works in close collaboration with the Financial Controller and program leadership to ensure consistent, compliant, and mission-aligned financial and administrative practices.

Core Responsibilities

Bookkeeping and Accounting Functions (35%)

  • Manage day-to-day accounts payable and accounts receivable functions (excluding payroll), ensuring accurate coding, documentation, approvals, and timeliness.
  • Prepare, issue, and track invoices; monitor aging, follow up on receivables, and coordinate with internal teams on collections and customer support.
  • Process vendor bills, contractor payments, reimbursements, and customer receipts; ensure required supporting documentation is collected and retained.
  • Maintain organized transaction documentation and workflows using QuickBooks Online, HubDoc, Bill.com, and Intellistack products (Forms, Sign, Documents).
  • Support month-end close readiness by maintaining clean ledgers, consistent documentation, and clear audit trails; escalate exceptions and risk issues to the Financial Controller/OFD.
  • Maintain consistent records practices for grants, restricted funds, program income, and project tracking in collaboration with the Financial Controller and program teams.

Fiscal Sponsorship Duties (30%)

  • Administrate Springboard's Incubator Program (fiscal sponsorship) by supporting participants with clear, consistent financial processes and documentation.
  • Support Incubators in meeting grant requirements; ensure requests meet documentation and approval requirements.
  • Maintain financial accountability and transparency for Incubator participants by keeping records current, reconcilable, and easy to interpret for internal and external stakeholders.
  • Track Incubator agreements, renewals, and required documentation; monitor key dates, compliance items, and reporting needs.
  • Collaborate with the Operations & Finance Director and Financial Controller to ensure Incubator practices align with internal controls, audit readiness, and organizational standards.
  • Partner closely with the Economic Opportunity team to coordinate and implement programmatic initiatives and project deliverables with Incubator participants, ensuring operational and financial workflows support participant experience and program goals.

Contract Management (30%)

  • Serve as the central coordination point for contracting across teams (Development, Economic Opportunity, Community Development, Rural, Incubator, Communications), ensuring consistent workflows and clear handoffs.
  • Prepare and manage contracts using Springboard templates, ensuring accuracy, consistency, and alignment with Springboard principles.
  • Coordinate contract routing, execution, and status tracking using Intellistack Sign and related tools; follow up to ensure timely completion.
  • Maintain organized contract records, version control, and retrieval standards in Insightly, Intellistack Documents, and Springboard archives.
  • Track key contract milestones tied to deliverables, invoicing, payments, and reporting requirements; provide timely updates to program leads and Financial Controller.

Other Duties as Assigned (5%)

  • Support cross-functional administrative and finance projects, process improvements, and documentation updates as assigned by the Operations & Finance Director.
  • Participate actively in cross-team and organizational meetings.
  • Listen for trends in community and neighborhood needs to inform programming.
  • Engage in continuous staff and professional development opportunities.

Qualifications

Ideal candidates will possess:

  • 3+ years of experience in bookkeeping, accounting operations, or financial administration (nonprofit experience strongly preferred).
  • Experience with fiscal sponsorship is preferred.
  • Demonstrated ability to manage accounts payable/receivable workflows with accuracy, strong documentation, and consistent follow-through.
  • Experience working in QuickBooks Online and comfort learning/using tools such as Bill.com, HubDoc, and Intellistack (or similar platforms).
  • Strong organizational skills and attention to detail, with the ability to manage deadlines across multiple programs and stakeholders.
  • Ability to communicate clearly and collaborate across teams, translating finance/operations steps into accessible workflows for non-finance colleagues.
  • A commitment to Springboard's values, with a focus on equity, diversity, and inclusion.
  • Experience within the arts community preferred; practicing artist preferred.

Hours, Compensation, and Benefits

  • Full-time, 40 hours a week
  • Salary: $62,000 annually
