Payroll and Accounts Payable Assistant (Remote - Pacific Time)
Position Summary
The Payroll and Accounts Payable Assistant provides administrative and technical support in processing payroll and accounts payable functions across multiple home health and hospice agencies . This position ensures accuracy, timeliness, and compliance with all applicable federal, state, and agency regulations. The ideal candidate is detail-oriented, efficient with multi-system workflows, and experienced in Workday and HCHB (HomeCare HomeBase) systems.
This is a remote position ; however, candidates must be available to work Monday through Friday, 8 : 00 AM-5 : 00 PM Pacific Time (PST).
Key Responsibilities
Payroll Administration
- Process biweekly payroll for multiple agencies using Workday, ensuring accurate timecards, deductions, and earnings.
- Collaborate with HR and management to review and resolve payroll discrepancies prior to processing.
- Maintain complete and accurate payroll records and generate reports for compliance and audit purposes.
- Support month-end and year-end close processes, including reconciliations, payroll accruals, and reporting.
- Ensure compliance with wage and hour laws , internal controls, and confidentiality standards.
Accounts Payable Support
Upload invoices into Tipalti , verify coding and approvals, and ensure timely processing.Complete Room & Board (R&B) spreadsheets on a monthly basis for hospice services.Contact vendors for missing W-9s or invoices and maintain accurate vendor records.Partner with the Pennant Service Center to track and confirm all invoices are received and paid promptly.Assist with vendor and expense audits and maintain organized documentation for all AP activities.Collaboration & Communication
Communicate with agency staff, HR teams, and vendors to resolve inquiries in a professional and timely manner.Support internal controls and compliance initiatives across multiple entities.Contribute to process improvement efforts to enhance payroll and AP efficiency.Qualifications
2+ years of experience in payroll and / or accounts payable, preferably in healthcare or multi-entity environments.Proficiency in Workday and HCHB (HomeCare HomeBase) required.Experience using Tipalti or similar AP software preferred.Strong Excel and data-entry skills with excellent accuracy and attention to detail.Working knowledge of payroll laws, accounting principles, and reconciliation procedures.Ability to manage multiple priorities in a fast-paced, remote work environment.Strong interpersonal and written communication skills; self-motivated and team-oriented.Must be available to work standard business hours in Pacific Time (PST).The employer for this position is stated in the job posting.
