The State Accounting Office (SAO) provides accounting and financial reporting expertise for the State and is statutorily responsible for statewide financial reporting. The SAO also provides enterprise oversight and management of the State's Enterprise Resource Planning (ERP) system, accounting policy development, financial business process improvement recommendations, and management of the payroll and accounting shared service centers.
Under project manager supervision, the project coordinator applies project management knowledge, skills, tools, and techniques in supporting project activities and tasks.
The incumbent is responsible for tracking project activities and tasks for a specific business suite or multiple workstreams. This includes but is not limited to, scheduling and attending meetings, capturing, and disseminating meeting minutes, receiving project documents and compiling a summary, aiding in the development of communication material such as emails, newsletters or PowerPoint presentation, updating project schedules and RAID log.
This is a time-limited, at-will employment position assigned to a project with an approximate 3-year life cycle.
Pay Grade : K
Salary range : $44,998.81 - $59,143.37
Primary Duties & Responsibilities :
- Coordinates, schedules, and attends project related meetings
- Transcribes and disseminates project meeting minutes
- Documents, tracks and receives project documentation and deliverables
- Send follow-ups as necessary to ensure project activities are completed in a timely manner
- Shares information and updates with project team members as relevant to project activities
- Documents and tracks project risks, issues, action items and decisions as part of the project management activities
- Assist Project Managers in developing necessary documents, presentations or reports
- Follow-up and track project statuses and update the project tracking system with pertinent information
- Create project related reports from the project work breakdown structure
- Work with Project Managers on documenting project scope and high-level requirements
- Disseminate information related to project schedules
- Coordinate quality review and steering committee meetings. Capture notes and action items and disseminate as appropriate
- Ensure all project related artifacts are stored in the proper location on SharePoint
- Assist in tracking, monitoring, and communicating project-related issues, scope changes, variances and contingencies that may arise
- Maintain effective communication and working relationships with project team members
- Other responsibilities added per management's discretion
