What You Can Expect to Do
Administrative & Executive Support
Free principals and project leads from operational distractions.
- Communication . Manage email, field calls, scheduling and meeting coordination.
- Meetings . Assist in preparation of meeting agendas, take notes, and coordinate follow up on action items.
- Registrations . Help manage renewals for business licenses, firm registrations, and professional licenses across states. Maintain staff licenses, continuing education logs.
- Travel . Arrange travel for principals. Manage expense reports and credit card reconciliations for principals (Concur, etc.).
Finance, Billing, and Vendor Coordination
Keep billing processes consistent and accurate.
Invoicing . Prepare pay applications for Acquisition & Redevelopment projects and T&M invoices for Essential and Stabilized Housing projects. Help maintain project data spreadsheets for billing and progress tracking.Consultants . Enter and track consultant invoices against project budgets. Maintain W-9s and certificates of insurance. Track accounts receivable and follow up on outstanding invoices.Project Coordination
Non-Design Support — Bridge admin and production workflows.
Tracking . Monitor project progress, submission deadlines, and pre-submission meetings (OHFA, MHFA, etc.). Track drawing issue logs and deliverable milestones. Manage the Monday.com project board.Construction Administration . Track and log submittals, RFIs, and drawing issuances across multiple projects. Maintain records of responses and revisions to ensure coordination between architects, consultants, and contractors.Project Forms . Manage coordination and execution of housing forms, consultant agreements, and due diligence proposals. Review for completeness, confirming files are accurate, signed, and correctly formatted.Drawing Management . Keep all project drawing sets current and organized. Manage Bluebeam Studio Sessions, BIMx Model Transfer site, and email-based file transfers.Contacts . Keep a simple CRM (consultant, vendor / project list) with contact history.Operations & HR Support
Keep internal systems running smoothly.
Staff . Support onboarding for new employees, including project setup, software access, and standard operating procedures. Track vacation calendars and maintain team availability.Technology . Coordinate IT needs and troubleshooting with technology providers, including BIMcloud, SharePoint, Mail and Microsoft 365 accounts.Office . Maintain office supplies, subscriptions, building product vendor accounts and materials library.File management . Ensure project folders stay organized and standardized. Create and maintain project setup (project numbers, folder templates).Marketing . Maintain and update resumes, qualifications statement, and portfolio package. Help manage image libraries and project photos. Maintain website or LinkedIn posts — project updates, team news, etc.Schedule . Team meetings, lunches, and all-hands events.Additional Responsibilities and Tools Used

Education : Bachelor’s degree in Architecture, Construction Management, Engineering, or other AEC field-related focus.Experience : 4–6 years of proven experience coordinating architectural or design / construction projects.Proficiency in project management software (MS Project, Primavera, or similar).Working knowledge of architectural drawings, specifications, and construction documents.Familiarity with AutoCAD, Revit, or other architectural design software is a plus.Strong organizational and multitasking abilities.Excellent written and verbal communication skills.Problem-solving mindset with attention to detail.Preferred Attributes
Experience working in architectural firms or design-build environments.Understanding of building codes, zoning regulations, and permitting processes.PMP, CAPM, or equivalent certification is advantageous but not required.Why You'll Love Working Here
