We are seeking a detail-oriented, proactive Assistant Office Manager to support our leadership team in maintaining smooth daily operations, ensuring staff accountability, and delivering exceptional service to our patients.
Key Responsibilities :
- Assist the Office Manager in overseeing day-to-day front office and administrative operations.
- Supervise and support front desk staff to ensure professional patient interactions and efficient scheduling.
- Ensure an exceptional patient experience by addressing inquiries, concerns, and complaints promptly and professionally.
- Monitor team performance and provide coaching, feedback, and training as needed.
- Assist with staff scheduling to ensure adequate coverage, including evenings and weekends.
- Support onboarding and training of new team members.
- Ensure compliance with OSHA, HIPAA, and practice protocols.
- Manage insurance verification, accounts receivable, and aging reports.
- Oversee claim submissions, follow up on unpaid / denied claims, and coordinate with the finance team on collections.
- Resolve patient inquiries, billing questions, and escalations in a professional and timely manner.
- Support the development and implementation of strategies to improve office efficiency, team morale, and patient satisfaction.
- Help manage and implement office policies, ensuring consistency across departments.
- Provide backup support for Office Manager duties when needed.
Requirements :
Minimum 2 years of dental office management, supervisory, or senior administrative experience (multi-doctor practice experience strongly preferred).Proficiency with dental practice management software (Dentrix experience highly preferred).Strong knowledge of insurance verification, billing, and collections processes.Experience managing accounts receivable and following up on claims.Excellent leadership, communication, and organizational skills.Ability to manage, motivate, and hold staff accountable in a positive, professional way.Strong problem-solving skills and the ability to manage multiple priorities.Flexibility to work evenings and weekends as part of a 7-day-a-week practice.Patient-first focus with a professional and polished demeanor.Schedule :
Full-time position with flexibility required for evening and weekend shifts.Office hours : 7 : 00 AM – 8 : 00 PM, 7 days a week.Benefits :
