Job description

Office Coordinator

Banyan Treatment Centers is hiring an Office Coordinator for our Palm Springs facility. This full-time, on-site role provides administrative and operational support to ensure smooth day-to-day activities. The Office Coordinator will assist with HR processes, maintain organized records, manage front desk operations, and support interdepartmental communication. Position Details :

  • Reporting to : Director of Operations & HR Manager
  • Schedule : Full-time | MondayFriday | 8 : 30 AM 5 : 00 PM (flexibility required)
  • Location : Cathedral City, CA (On-site)
  • Compensation : $22 - $26, dependent on education, experience, and scope of applicable skills.

Key Responsibilities :

  • Serve as the first point of contact for staff, visitors, and new hires.
  • Conduct new hire orientations, assist with onboarding paperwork, and ensure training and CEU compliance.
  • Submit new hire documentation and notify HR of employee status changes, payroll issues, or benefits concerns.
  • Maintain and audit employee files for accuracy and regulatory adherence; assist during open enrollment periods.
  • Track, reconcile, and replenish petty cash for client and office-related expenses, including tobacco and shopping requests.
  • Manage client personal property, including intake, disbursement, discharge preparation, and follow-up mailing.
  • Answer and route incoming calls, monitor front desk coverage, and maintain scheduling for conference room use.
  • Process internal and patient mail and ensure all visitors are screened, logged, and issued proper identification.
  • Order and manage office supplies and inventory for program staff.
  • Support communication between patients, families, and staff; collaborate with clinical teams to uphold safety and care continuity.
  • Assist in processing bi-weekly payroll for Behavioral Health Technician (BHT) staff.
  • Required Qualifications :

  • Minimum 2 years of experience in administrative or clerical roles
  • Strong organizational, communication, and time management skills
  • Ability to handle confidential information with discretion
  • Preferred Qualifications :

  • Experience in behavioral health or mental health settings
  • Familiarity with HRIS platforms (UKG preferred)
  • Associate's degree or higher
  • Bilingual (Spanish strongly encouraged)
