Job Specifics
- This position supports our central region's four clinics : West Milwaukee, Wauwatosa, Waukesha and Fond du Lac
- Home location will be the Miller Park Way clinic located at 2100 Miller Park Way, West Milwaukee, WI 53219 but travel to our clinics in Wauwatosa and Waukesha is required along with occasional travel to our clinic in Fond du Lac
Job Responsibilities
Responsible for the administrative and clerical support of the Regional Practice Manager and clinic management team(s) as directed by the Regional Practice Manager to ensure needs of the clinic(s) are met.
Responsible for the administrative support and assistance of the Human Resource functionalities for the clinic(s) to ensure compliance.
- Perform administrative functions for the clinic management teams
- Establish relationships with local educational institutions to support Youth Apprentice Programs and Internship / Externship positions
- Responsible for sections of new staff member orientation that relate to the processing of employment records
- Point of Contact for Home Office when scheduling for providers and / or management team members for respective clinics
- Responsible for the assistance and completion of paperwork related to the employee life cycle
- Create and maintain clinic personnel files for all staff members
- Completion of HR responsibilities as needed
- Update and maintain clinic phone and informational lists
- Aid with credentialing of doctors
- Monitor CPR / ACLS expiration dates and arrange training when needed in a proactive manner
- Provide administrative support for doctors as required
- Schedule meetings, reservations etc. as required
- Provide administrative support for hire actions, staff orientation and staff terminations
- Responsible for payment reconciliation and cash deposits
- Champion Children’s Dental Health Month coordination to include but not limited to : contacting schools, solidifying volunteers, communicating with Marketing Department
- Completion and submission of expense reports for the Associate Practice Managers and Regional Practice Manager
- Maintain monthly staffing reports
- Works closely with the Recruiting Specialist to provide a seamless transition for potential candidates during the interview process throughout the hiring process
- Update Hygiene and Doctors schedules
- Create DSA schedule templates as needed
- Enter and edit ancillary staff ADP schedules when processing PTF
- Conduct or designate clinic cash box audits monthly
- Perform administrative functions for Marketing Representative as needed
- Travel when / as needed between clinic locations
Job Requirements
- Associate Degree in Business Management (or related field) and / or 3 years of administration experience
- Must have excellent verbal and written communication skills, including excellent PC skills
- Ability to write reports, memos and other business correspondence.
- Ability to respond to questions from groups of managers, executives and other staff members
- Ability to calculate figures and amounts such as proportions and percentages
