Coordinator, Administrative Services
Under the direction of the Director, Administrative Services, the Coordinator, Administrative Services, provides administrative and program support to guarantee the smooth execution of ongoing Administrative Services processes and transactions.
Position responsibilities include :
- Administering staff parking and transit subsidy programs.
- Maintaining parking garage space allocation database and public transit file.
- Primary point of contact for employee on-boarding.
- Representing Admin Services at employee orientation.
- Issuing building security access cards.
- Managing the calendar for conference / training room scheduling.
- Aiding in coordinating A / V requirements and set-up with Facility Technicians.
- Managing reservations for SHRM tenants.
- Ordering business cards, conference badges, and Emergency Wallet Cards for staff and Board Members.
- Acting as the department's accounting liaison which includes processing all department invoices, assisting with budget development and entry, maintaining all necessary records.
- Performing general clerical duties to include but not limited to faxing, mailings, planning and coordinating meetings and events.
- Providing support to staff in assigned project-based work.
- Preparing department communications including drafting messages and maintaining files.
- Providing administrative support to executive staff as needed.
Position qualifications :
High school diploma or equivalent.At least two (2) years of experience as an Administrative Assistant or in an administrative support role.Proficient in Microsoft Office Suite.Excellent oral and written communication skills.Excellent customer service skill.Ability to perform effectively in a fast-paced environment and meet required deadlines.Ability to handle confidential and sensitive information.Physical requirements :
Must be able to perform essential duties satisfactorily with reasonable accommodations.Work is generally done sitting, talking, hearing, and typing. Visual acuity to use a keyboard, prepare and analyze data and figures; transcribing, viewing a computer terminal; extensive reading.Work environment :
Work is regularly performed in a combination of office and conference settings and routinely uses standard office equipment.Travel required : occasional 0-10%.Salary range : $50,000 to $69,000 per year.
