Administrative Coordinator
We are looking for a detail-oriented Administrative Coordinator to join our team in Signal Hill, California. In this long-term contract position, you will play a key role in supporting administrative functions across various departments, ensuring smooth operations and compliance with company policies and regulatory standards. This is an excellent opportunity for someone with strong organizational skills and the ability to coordinate multiple tasks effectively.
Responsibilities :
- Provide administrative support to the Environmental Health & Safety department, including managing purchase orders, invoices, reports, meeting agendas, and both internal and external communications.
- Handle employer representative duties for random drug and alcohol testing pools, as well as occupational medical clinic coordination.
- Oversee the processes for maintaining commercial driver qualification files and ensuring compliance.
- Conduct and maintain driver background checks through the clearinghouse system.
- Maintain accurate records retention in alignment with regulatory requirements and company standards.
- Coordinate and schedule training programs for employee onboarding and refresher courses.
- Monitor and track employee safety training using the company's training matrix.
- Assist with incident case management and provide support for related documentation.
- Update policies, procedures, manuals, and standard operating procedures while managing third-party clearinghouse agencies.
- Provide support for safety incident management and compliance initiatives.
Requirements :
Proven experience in administrative support roles, preferably within health and safety or compliance-focused environments.Strong organizational and multitasking skills with the ability to prioritize effectively.Familiarity with calendar management, scheduling, and coordinating multiple activities.Knowledge of drug safety protocols and case management.Experience with training coordination and tracking systems.Proficiency in maintaining accurate records and ensuring compliance with regulatory standards.Ability to communicate professionally with internal teams and external stakeholders.Proficiency in using software tools for documentation, tracking, and reporting.
