Job description

Position Definition

To plan, coordinate, develop, implement and facilitate student support or instructional services for large – scale and complex program(s) in order to attract, retain and support a diverse population of students; and to provide technical program administration for all related activities. Distinguishing Characteristics Positions in this classification are responsible for the planning, organization and preparation of large, complex student support or instructional programs. Senior Program Coordinators are more involved in program planning and coordination involving two or more major programs. Examples of Duties / Essential Functions Duties may include, but are not limited to, the following :

  • Provides overall direction and guidance to the day-to-day operations, problem solving and decision making regarding a large and complex assigned program; implements program policies and directives according to District, federal or State guidelines.
  • Performs program development and administration for large and / or multiple programs.
  • Assists in the development, preparation and / or administration of department and program budgets.
  • Maintains and compiles data for statistical reports, student data reports, student records and files, or material requested by the District and State Chancellor’s Office.
  • Prepares periodic reports, financial statements and records on program activities, progress, status or other special reports for management or outside agencies.
  • Coordinates with other departments and / or external vendors to arrange for support equipment, materials, services or resources for students and orients students in processes or use.
  • Develops, schedules and leads training programs for faculty, staff and managers to promote access to and increased awareness of available student support services and programs.
  • Develops and implements support programs; conducts research appropriate to the operation and effectiveness of the program.
  • Reviews applications or other program documents to determine acceptance or make decisions pertaining to program; advises students on issues associated with assigned program; identifies problems and provides advice.
  • Designs and develops presentations, written information and other resource materials concerning available college and community services and programs.
  • Assists students with navigating college processes as appropriate for assigned program; guides students in utilizing the services of the college and outside agencies; provides referral to auxiliary resources.
  • Participates in special activities and events as needed.
  • Maintains and monitors payroll records for student assistants.
  • Advances program objectives consistent with college’s organizational mission and goals.
  • Creates program policies and processes to facilitate student success.
  • Meets with community members, business leaders and external agencies to solicit their participation and interest in college student service programs.
  • Performs related duties as assigned.

Minimum Qualification-Education / Experience EXPERIENCE AND TRAINING

Four (4) years of experience performing responsible student services duties in a related college program.

EDUCATION / LICENSE OR CERTIFICATE

Possession of a Bachelor’s degree from an accredited college or university, or the equivalent. Minimum Qualification-Knowledge Of Current policies, procedures and regulations related to assigned student services program.

Modern office procedures, practices and technology / equipment.

General college classroom procedures and requirements.

General needs of population of students supported.

Philosophy and objectives of students services programs; problems encountered by students supported.

General principles and practices of supervision.

Basic interviewing and test proctoring techniques.

Modern software applications (Microsoft Office Suite, etc.). Minimum Qualification-Skill To N / A Minimum Qualification-Ability To Design, develop, and implement effective student support services and programs to meet the needs of the community.

Understand and carry out verbal or written instructions in an independent manner.

Identify and obtain resources and other needed programs and services to meet students’ academic and vocational needs and objectives.

Assign work to, oversee, and train student assistants.

Gather, prepare and maintain accurate data, records, files and reports.

Analyze situations accurately and independently make sound decisions in procedural matters.

Serve as a liaison between students and community or college agencies and services.

Communicate effectively, both orally and in writing; prepare clear and concise technical and statistical reports.

Function in a fast-paced environment with significant public contact.

Establish and maintain effective working relationships with those contacted in the course of performing required duties.

Demonstrate understanding of, sensitivity to, and respect for the diverse academic, socio-economic, race, ethnicity, gender identity, sexual orientation, age, mental or physical disability, and religious background of all students, faculty and staff, and with all individuals encountered in the performance of required duties. Desirable Qualifications Preferred :

A master’s degree in education, educational psychology, or instructional psychology, or other master’s degree with emphasis in adult learning theory

Strong background in reading, writing, and tutoring pedagogy — ideally supported by an academic degree in English, Education, or a related field, and experience providing direct student support through tutoring, consulting, or instructional assistance.

  • Demonstrated commitment to equity-minded student success and campus collaboration — with the interpersonal skills to foster an inclusive, welcoming learning environment and to partner effectively with students, faculty, staff, and administrators.
  • Proven ability to oversee complex operational systems and processes — such as budget management, scheduling, data reporting (, SARS Track, positive attendance), and technology oversight for both in-person and online learning environments.
  • Experience innovating tutoring initiatives, such as online tutoring, group tutoring, supplemental instruction, or embedded tutoring models.
  • Demonstrated experience in academic support or learning center coordination — including tutoring program management, staff and student supervision, and faculty collaboration to deliver effective academic services across multiple disciplines and campuses.Experience collaborating with faculty to deliver tutoring services

Employee Benefits : Insurance : The District offers health, vision, dental and life insurance for monthly classified employees and managers / supervisors and their eligible dependents. Monthly classified employees and managers / supervisors covered by another health medical plan may waive District coverage and receive a monthly cash stipend.

    Retirement : Most employees are members of the PERS (Public Employees Retirement System). Faculty employees and Academic Managers are members of the STRS (State Teachers Retirement System). Police Service employers are members of Safety Public Employees Retirement System.

    Deferred Compensation : The District offers two optional deferred compensation plans. Eligible employees have a choice of the 457, 403b plans and a selection of savings and investment options.

    Leave Allowance : The District offers monthly eligible classified employees and managers / supervisors a generous vacation and sick leave benefits as well as 20 paid holidays annually (which can vary based on length of winter break).

    Additional Benefits : The District also offers monthly eligible classified employees and managers / supervisors educational reimbursements, employee assistance programs, a travel assistance plan, longevity compensation, retiree benefits, employee discounts on health memberships and a comprehensive wellness program.

    Newly hired employees may notify the respective union (Local 1 or United Faculty) if they opt to join and / or authorize payment to the union. If the newly hired employee authorizes payment to the union then the following fees apply : Local 1 has a one-time initiation fee of $ and monthly contribution of 1% of gross pay +$1. United Faculty has an agency fee of .55% of gross pay plus $ (All confidential, supervisory and management positions are exempt from union membership)
