Recruitment & Talent Acquisition
- Create and maintain internal / external job postings for vacant positions.
- Review applications to determine eligibility and job qualification.
- Create, maintain and disburse civil service eligible lists with hiring managers and staffing offices.
- Invite candidates for required exams and typing tests.
Hiring, Onboarding & Employee Processing
Process new hires, rehires, resignations, transfers, promotions, and returns from leave.Key all new hires and rehires into the HRIS system.Lead weekly new hire onboarding sessions and communicate key HR policies, fingerprint timelines, and badge procedures.Send welcome / pay emails and onboarding documents; ensure all personnel file requirements are met.Civil Service Compliance & Examination Administration
Conduct exam committee meetings; create, grade, and perform item analysis on exams.Determine candidate eligibility for exams and civil service lists.Conduct Public Records Reviews and ensure compliance with civil service rules.Provide exam and candidate documentation for legal disputes and civil service board cases.Create and distribute promotional postings per civil service regulations.Maintain organizational structure accuracy for staffing decisions.Fingerprinting & Background Clearance
Verify fingerprint clearance in the State Clearing House.Send and process fingerprint demographic forms for new hires.Data Management & HR Systems
Maintain vacancy reports, setup schedules, and staffing spreadsheets.Check for accurate pay when entering data.Process Position Change Forms for budget, new positions, or delimited roles.Administrative Operations & Support
Reserve rooms for exams, interviews, typing tests, new hire setups, and meetings.Cover the HR front lobby desk weekly.Job Summary
Provides administrative support work in assisting district administrators in planning, coordinating, monitoring, and facilitating administrative actions and processes.
Essential Functions
1. Researches and compiles data, and prepares reports and correspondence.
2. Organizes and tracks the status of legislation, application or case record processing, responding to complaints, and / or resolving work related problems.
3. Recommends, coordinates, and implements administrative practices and procedures to facilitate work processes and accomplish unit activities.
4. Interprets laws, rules, regulations, policies, for the purpose of answering inquiries, resolving complaints, or to resolve work related problems.
5. Prepares correspondence relating to administrative activities for the purpose of presenting information, or resolving complaints or work related problems.
6. Maintains administrative records and files.
7. Attends meetings to provide or clarify information, facilitate processes, or resolve problems.
8. Performs other duties as assigned.
Probation : Six (6) months
Qualifications
Open requirements : Four (4) year combination of education, training, and experience in administrative work or related area.
Promotional requirements : NA
Licensing : Depending upon assignment, a valid Florida Driver's License may be required prior to appointment and must be maintained during employment in this class.
