job summary :

The Project Coordinator / Integration Specialist partners with internal and external

partners to facilitate the timely, accurate and efficient delivery of Marketing projects.

This role is responsible for managing a portfolio of Marketing deliverables (campaigns,

digital, emails and collateral, for example) from ideation to delivery, while at the same

time assist with identifying and integrating efficiencies and automations within Adobe

Workfront and other technologies.

This role will serve 50% of their time as a Project Coordinator, gathering project

requirements, designing project workflows, prioritizing projects, and planning resources.

Concurrently, this person will identify, communicate and track how their team's work

could impact the Enterprise, in areas including other collateral, our digital presence,

customer service, sales, marketing, programming, supply, and other departments. The

Project Coordinator will thrive when organizing and planning the execution of large

initiatives or programs such as campaigns, promotions, events, product and form

rollouts, and regulatory changes.

50% of the role will, in cooperation with internal and external technology partners, use

your Adobe Workfront development knowledge to focus on identifying and implementing

efficiencies including automations using Workfront, Workfront Fusion, native Workfront

integrations and other technologies. You will also design reports and dashboards to

effectively illustrate completed and in-flight work. You will serve as a resource for other

Workfront system administrator functions.

Bachelor's Degree with at least two (2) years related experience or an Associate's degree

A.A.) and four (4) or more years of related experience; and / or training in project

management, technology, insurance, marketing, financial services, legal, graphic design,

printing or an area of similar background.

Experience creating projects in Workfront using request queues and templates.

  • Experience designing and implementing integrations for Workfront flows.
  • 2+ years' experience with Workfront Fusion.

2+ years' experience implementing Workfront native integrations such as Adobe

Create Suite, SharePoint and One Drive.

Basic project management capabilities. Understanding Kanban, Agile and Waterfall

methodologies is a plus.

  • 1-2 years managing projects, project workflows and resources.
  • Knowledge of resource planning tool in Workfront is a plus.
  • Ability to prioritize and work on multiple projects simultaneously in a fast-paced and

collaborative environment. Time-management skills are essential, as well as the

ability to balance independent work and collaborative work.

  • Ability to successfully handle pressure and meet deadlines.
  • strong oral and written communication skills, including ability to interact with

technical peers. Ability to forge relationships and gain buy-in and trust is essential.

Needs to be able to consistently work cooperatively and successfully with

employees, customers, and other outside third parties. strong customer service and

interpersonal skills.

Ability to effectively illustrate and present information and respond to questions

from groups. This includes process mapping and reporting on milestones.

  • Exemplary organizational skills and strong attention to detail.
  • Ability to research and creatively solve problems.
  • Proficient in Microsoft Office applications, primarily Outlook, Word and Excel, Adobe

Acrobat and Adobe Workfront. Ability to learn and utilize other applications / new

technology. Has a technical aptitude. Experience with design programs and design

elements is not required but would be a plus. Experience with MS Whiteboard, Miro

or Visio is also a plus.

Takes initiative and ownership and is motivated to complete work on time, all while

maintaining a One Team approach.

responsibilities :

Collaborates with managers, stakeholders, reviewers, and contributors to gather and

review program and project requirements and to accurately record project details and

establish project timelines using the project workflow system, Adobe Workfront.

Tailors individual projects as needed depending on creation, review and distribution

parameters.

Monitors and adjusts projects and programs according to prioritization throughout the

project lifecycle and communicates progress through the appropriate channels,

including reporting and contributing to daily standups with creative team members.

Identifies areas in Workfront and within individual projects that require re-alignment

and reassignment as needed.

Identifies gaps, roadblocks and assesses and communicates project risk when

discovered.

Identifies and coordinates the on-time delivery of multiple projects for large rollouts

related to product launches, regulatory changes, campaigns and other company

initiatives.

Partners with Legal, Compliance, Actuary, Accounting and Finance when needed to

review and approve collateral requiring that expertise.

Closes the project life cycle by ensuring that distribution and post-production tasks

are complete.

Administers the project workflow system in the areas of user onboarding and training,

reporting.

  • Stays up to date on Workfront enhancements and industry use of the tool.
  • Updates and builds upon existing user documentation to assist users and stakeholders

to adopt evolving processes and platforms.

Ensures accurate reporting and analytics for all completed and inflight projects and

collateral.

  • This person will consider streamlining processes on a consistent basis.
  • Researches and integrates Workfront automations and process efficiencies, using

native integrations and Workfront Fusion. May assist with API integrations, if

identified.

Monitors, troubleshoots, and resolves issues in Workfront and Fusion platforms,

ensuring optimal performance and reliability.

  • Automates system monitoring where appropriate.
  • Responds to requests via a multitude of channels in a timely manner.
