OPS Project Manager, Innovative Education

The OPS Project Manager, Innovative Education provides coordination and oversight of projects relating to post-award activities for Innovative Education and Partnerships. The OPS Project Manager applies advanced knowledge of one or more areas of the sponsored program to manage project success. Awards managed by this role may be complex due to the subject matter and / or reporting requirements. This role works closely with the principal investigator / project director and provides input and advice to achieve compliance. Works with campus stakeholders and cross functional teams to ensure timely and effective completion of grant projects, deliverables, timelines, and budget. Assures work is completed according to set parameters and tracks data for accurate reporting.

Typical duties include, but are not limited to :

  • Manages post award activities and coordinates the execution of grant projects in compliance with award terms to ensure award deliverables are met.
  • Assists Innovative Education and partnerships to develop, execute, and review initiatives, resources, and projects. Establishes timelines, reviews progress and develops strategies for project completion and to achieve grant goals.
  • Manages post-award activities for an assigned portfolio of grants and sponsored programs within the unit.
  • Collaborates with grant teams to develop and implement goals.
  • Collaborates with unit stakeholders to develop, execute, and review strategies, initiatives, resources, and roadmaps for successful project completion.
  • Provides project management to internal and external stakeholders and cross functional teams to ensure timely and effective completion of project goals, deliverables, timelines, and budget while adhering to a high standard of quality work.
  • Manages project compliance and guides researchers on compliance issues. Tracks required certifications and documentation according to research protocol requirements.
  • Monitors project risks and develops / executes mitigation strategies. Monitors compliance with agency and University reporting regulations.
  • Coordinates program communication and pre-program and post-program tasks.
  • Coordinates grant meetings, events, program schedules, and activities.
  • Oversees and maintains accurate records. Adheres to strict record keeping requirements and responds to record requests.
  • Prepares grant-related materials, correspondence, and deliverables / reports.
  • Conducts research (e.g., data collection and analysis) with other grant team members.
  • Assists with follow up and outreach coordination and assists with tracking participant outcomes in alignment with grant reporting expectations.
  • Assist grant teams with daily operations including logistics, scheduling instructional activities, arranging transportation, recording expenses and monitoring budget activities, completing purchasing requests, contacting vendors as needed, coordinating opening and closing receptions and other program events, and monitoring participants' needs on WhatsApp and via email.
  • Ensures all processes remain compliant with institutional and governmental regulations.
  • May provide training to PIs, faculty, staff, students, and external collaborators on grant related activities and compliance.
  • Works to improve processes and solve routine problems following established policies and procedures.
  • Supervises student workers / graduate assistants on projects.

Other duties :

  • Assist with grant program outreach and recruitment as needed.

    Minimum Qualifications :

  • This position requires either six years of directly related full-time experience or, as an alternative, a Bachelor's degree from an accredited institution in Education, Business Administration, or closely related field and two years of full-time experience directly related to the job functions.
  • Any appropriate combination of relevant education, experience, and / or certifications may be considered.
  • Full-time experience teaching in K-12 classrooms in the U.S.
  • Experience working on Federal or state grants.
  • Experience coordinating professional development programs or professional meetings / conferences.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, and Outlook).
  • Preferred Qualifications :

  • Experience working in K-12 schools in administrative roles.
  • Experience in curriculum development and instruction.
  • Experience with grant writing and working in grant coordination and management.
  • Experience conducting research.
  • Knowledge, Skills, & Abilities :

  • Knowledge of policies, procedures, and guidelines established by professional organizations and / or governing agencies.
  • Knowledge of and ability to work with a comfort level with legal documents and budgets.
  • Knowledge of research compliance.
  • Knowledge of various funding agency rules and regulations as they pertain to grant / contract administration.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong organizational skills and an ability to prioritize and complete simultaneous projects when numerous demands are involved.
  • Ability to operate personal computers with proficiency and learn new applications and systems.
  • Ability to accurately prepare and maintain records, files, and reports.
  • Ability to think critically and make clear, well-reasoned and timely decisions.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to interpret and apply laws, regulations, policies, and procedures consistently.
  • Ability to work irregular hours including evenings, nights, and weekends as required.
  • This is a grant funded and time limited position with a possibility of refunding. This position will have an anticipated end date on or around June 1, 2026. Please note that all grant funding is subject to change, reduction, or discontinuation at any time.
