Human Resources Program And Credentialing Coordinator
Alice L. Walton School of Medicine (AWSOM) is seeking experienced, motivated, and dedicated leaders and educators to participate in the design and delivery of an innovative four-year medical school curriculum that engages medical students in active and novel learning.
The Human Resources Program and Credentialing Coordinator is responsible for managing and executing credentialing, onboarding, and administrative processes for faculty, clinical staff, and contractors at AWSOM. This role ensures compliance with institutional policies, accreditation standards, and regulatory requirements, while supporting recruitment efforts and providing a seamless onboarding experience. The position requires strong organizational skills, attention to detail, and the ability to collaborate across departments and external partners.
Essential Duties and Responsibilities :
Credentialing :
- Lead the credentialing and recredentialing process for faculty, clinical staff, and contractors, ensuring verification of education, training, licensure, board certification, and professional history in alignment with institutional and regulatory standards.
- Administer credentialing workflows using platforms such as DocuSign, Modio, HireRight, and Workday, ensuring data integrity and timely processing.
- Maintain and enhance credentialing databases and document management systems, implementing process improvements to support operational efficiency and compliance.
- Interpret and apply accreditation standards (LCME, HLC), state and federal regulations, and internal policies to ensure institutional compliance.
- Monitor credentialing and compliance platforms for expirations, sanctions, and renewals, proactively mitigating risk and ensuring uninterrupted clinical privileges.
- Provide strategic support to the Credentialing Committee, including data analysis, renewal forecasting, and verification of academic credentials.
- Serve as a liaison with external credentialing bodies and clinical partners to facilitate appointments and privileging, ensuring alignment with institutional standards.
Contractors :
Oversee the Independent Contractor onboarding and compliance workflow, ensuring all contractual, legal, and operational steps are executed accurately and documented.Coordinate cross-functional onboarding activities, including background checks, IT provisioning, and contract execution, in collaboration with Talent Acquisition and IT teams.Develop and maintain contractor onboarding protocols, ensuring consistency, compliance, and positive engagement.Serve as the primary point of contact for contractor inquiries, resolving issues and providing guidance on institutional policies and procedures.Onboarding & HR Program Administration :
Design and manage onboarding programs for new hires, including scheduling, orientation delivery, and compliance training assignments.Conduct HR orientation sessions, providing guidance on institutional policies, benefits, and compliance requirements.Monitor and report on training completion across multiple systems, ensuring regulatory and institutional compliance.Maintain personnel records across Workday, SharePoint, and other systems, ensuring accuracy and confidentiality.Administer retention bonus programs, including tracking eligibility and coordinating payouts.Contribute to the development and implementation of HR programs that support faculty and student engagement, retention, and compliance.Analyze HR data and generate reports to support strategic decision-making and operational planning.Recruitment & Program Support :
Support recruitment operations by coordinating interview logistics, managing candidate communications, and facilitating evaluation processes.Administer recruitment advertising accounts, ensuring alignment with budget and branding standards.Collect and synthesize candidate feedback for search committees, contributing to data-driven hiring decisions.Other duties as assigned.Qualifications and Requirements :
Bachelor's degree or equivalent experience in healthcare administration, business, or related field required.Master's degree in related field preferred.Minimum of 3 years of experience in credentialing, Human Resource operations, medical staff services, or academic healthcare administration, required.Experience with regulatory standards (e.g., LCME, HLC, CMS, state licensure boards) and credentialing platforms (e.g., Modio, HireRight, Workday), preferred.Proficiency in Microsoft Office Suite, HRIS systems (Workday preferred), document management tools (Sharepoint, Docusign), and credentialing software, required.Strong data analysis and reporting skills using Excel or similar tools.Excellent communication and interpersonal skills.Strong organizational and time management skills coupled with a high level of accuracy and attention to detail.Certification in credentialing (e.g., CPCS, CPMSM) or HR (e.g., SHRM-CP, PHR), preferred.Experience working in a medical school environment is preferred.Physical Demands and Work Environment :
Physical Demands : In the work environment described, position requires sitting at a desk and utilizing a computer and a telephone for prolonged periods of time and good eye / hand coordination, bending and stretching, and physical stamina to lift and transport a minimum of 10 pounds. Visual acuity to review written materials is required for this job.
Work Environment : Work is performed full-time (Monday-Friday, 8 a.m.-5 p.m.) in a professional, climate-controlled office environment with standard office equipment, including computers, printers, and telephones. This role requires working in an open setting near colleagues. The noise level is typically low to moderate. The role also requires interaction with both the public and internal team members in a professional and courteous manner. Some local travel will be required, and a flexible schedule may be necessary to accommodate business needs, including occasional evening and weekend work hours.
