JOB SUMMARY
The Continuing Education & Customer Service Representative serves as the first point of contact for the school’s main phone line and provides administrative and customer support for all MTSA Continuing Education (CE) offerings. This role supports the daily operations of the CE department and the Manager, Continuing Education by assisting participants, coordinating communications, maintaining records, supporting event planning and delivery, and ensuring accurate documentation for seamless execution of CE activities.
QUALIFICATIONS
- Associate’s degree or higher preferred
- Prior administrative support experience, preferably in a healthcare or academic setting
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Forms, Teams)
- Strong organizational skills and attention to detail
- Clear verbal and written communication skills, with a professional and courteous demeanor
- Ability to manage multiple tasks and prioritize effectively
- Dependable and able to work effectively in a team environment

Serve as the first point of contact for the school’s main phone line, answer inquiries, and route calls appropriately with professionalism and courtesy.Respond promptly to Continuing Education inquiries, providing accurate information and customer support to participants, faculty, and stakeholders.Oversee the CE department inbox, handle incoming messages, and coordinate timely responses; escalate complex inquiries to the CE Manager when appropriate.Assist in maintaining and updating workflows and SOPs for recurring CE tasks.Maintain CE documentation required for accreditation and audit purposes.Help ensure CE activities meet AANA and institutional compliance standards.Regularly review and maintain Microsoft Forms and related spreadsheets to support AANA CE approval and compliance tracking.Provide administrative support for all MTSA Continuing Education (CE) programs and events.Maintain a master calendar of CE activities, including tracking launch dates, renewal deadlines, and expiration dates for all CE offerings.Organize and maintain participant documents, including CVs, bios, and headshots, in preparation for course accreditation and event marketin.Assist in preparing event materials, promotional flyers, and CE communications.Help distribute announcements and maintain distribution lists.Assist with event logistics, including room setup, supply ordering, and coordination with vendors or speakers.Assist faculty and guest speakers with live sessions as needed.Maintain and distribute CE records, registration lists and attendance, evaluations, and certificates of completion in accordance with various requirements.Track enrollment, collect and organize participant information, and input data into appropriate reporting systems.Create and maintain basic reports on course participation and completion.Assists with obtaining completion records and generating reports in the LMS (iSpring, Brightspace).Assist with event logistics, including room setup, supply ordering, and coordination with vendors or speakers.Assist faculty and guest speakers with live sessions as needed.Compile feedback and evaluation results for CE activities.Monitor and reorder CE office supplies as needed.Generate data reports and maintain accurate filing systems.Assist with various other school events and projects.Other job-related duties as assigned.COMMITTEE INVOLVEMENT

ATTENDANCE
Expected to be available and on campus during normal business hours of Middle Tennessee School of Anesthesia, Monday through Thursday, 8 : 00 am to 6 : 00 pm CST. Some weekend work is required for planned events.
