Executive Assistant
The Executive Assistant (EA) is responsible for providing analytical and specialized administrative support to the Vice President of Global Services and members of the leadership team. The EA works on assignments that are complex in nature in which independent action and a high degree of initiative are required to resolve problems and develop recommendations. The EA will act independently to determine new methods and procedures on assignments. The EA uses his / her ability as an office administrator to contribute to the development of concepts and techniques, and to complete tasks in creative and effective ways. The EA must be highly organized and able to prioritize multiple tasks and projects effectively.
Duties and responsibilities include : effective use of Microsoft Office to develop presentations, create documents / templates, input and analyze data; responsible for heavy calendar management, requiring interaction with both internal and external executives, various department leaders and assistants; facilitates incoming and outgoing department communications on behalf of the Leadership Team; establishes and maintains files and confidential records; coordinates large scale events and interdepartmental meetings; makes complex domestic and international travel arrangements; coordinate various office support services; assists in the arrangement and execution of company events; supports several leaders as required for special projects and needs; maintains a positive outlook no matter how big or small the task; performs other related duties and assignments as required.
Requirements include : a high school diploma / GED; a minimum of six years of administrative assistant experience; at least two years supporting an executive level leader and other members of a leadership team.
Assets include : expertise with Microsoft applications; AP and Concur experience; workday experience; prior experience supporting senior level management and customer facing organizations; effective organization, planning, and interpersonal skills; effective written and oral communication skills; demonstrated ability to maintain a high degree of confidentiality with sensitive information; very high customer service and support skills; good learning agility and the ability to anticipate future needs; strong communication skills and attention to detail, ability to prioritize, meet deadlines, and juggle multiple priorities in a fast-paced environment; demonstrated ability to deal with unresolved situations, frequent changes, delays or unexpected events and maintain a calm disposition.
