The Opportunity We’re looking for a Project Coordinator who finds joy in turning complexity into clarity.
Someone who sees systems as puzzles to solve, loves bringing order to moving parts, and thrives in a fast-paced, forward-thinking environment.
In this role, you’ll be the backbone of our Operations team — driving projects forward, organizing the details that keep our business running smoothly, and helping us refine the systems that power a world-class travel company.
This is a unique opportunity to break into the luxury travel industry while gaining hands-on exposure to project management, operations, and technology platforms like Salesforce, Jira, and Confluence.
If you’re someone who takes pride in being the “glue” that keeps teams aligned and projects on track — this role was made for you.
Responsibilities Support project management across all phases of business transformation initiatives by drafting scope documents, preparing meeting agendas and recaps, tracking timelines and follow-ups, coordinating and documenting system testing, and assisting with user training and process documentation.
Assist with configuration, automation, and troubleshooting across tools such as Salesforce, Jira, and Zapier, while supporting the implementation of process enhancements and system integrations that improve team efficiency.
Serve as Jira Project Lead for Tech Issues and provide backup support for Salesforce and Sales Support tickets.
Manage Jira Service Management by optimizing workflows to enhance efficiency, consistency, and visibility across departments, and by reporting on performance metrics.
Provision and manage software licenses for staff, affiliates, and the PH team, coordinating onboarding and offboarding to ensure proper access and billing alignment.
Coordinate vendor relationships, scheduling meetings, managing renewals, maintaining current provider records, and supporting billing and contract documentation.
Maintain and expand internal documentation in TLF’s Confluence “Passport,” ensuring all admin and tech content is accurate, current, and aligned with project updates.
Partner with other Operations team members to create and maintain user-facing documentation that empowers team members to work independently.
Collaborate closely with the Director of Operations and cross-functional teams to support initiatives that improve structure, consistency, and communication across the company.
