Position Summary
The Healthcare Credentialing & HR Coordinator is responsible for managing the credentialing and privileging process for all surgical providers and maintaining compliant personnel and HR files in accordance with AAAHC, CMS, and state regulations. This position ensures that all provider and staff documentation is accurate, current, and audit-ready. The role also provides administrative support to the leadership team, assists with policy compliance, and contributes to the smooth and efficient operation of the surgical center.
Key Responsibilities
Credentialing & Privileging
- Manage initial credentialing, re-credentialing, and privileging for all surgeons, anesthesiologists, and allied health professionals.
- Verify professional credentials including licensure, certifications, malpractice coverage, and work history.
- Maintain current and complete credentialing files in accordance with AAAHC, CMS, York State and facility standards.
- Track expirations and proactively notify providers of upcoming renewals for licenses, DEA, certifications, and insurance.
- Prepare and present complete credentialing packets to the governing body or medical executive committee for approval.
- Maintain the credentialing database and ensure all information is accurate and up-to-date.
HR & Personnel File Management
Maintain organized and compliant HR and personnel files for all staff members.Track and document employee certifications, licensure, health screenings, background checks, and competency evaluations.Support onboarding and offboarding processes by ensuring required documentation is collected and retained.Ensure all employee files meet AAAHC, OSHA, HIPAA, and state requirements.Assist in maintaining accurate employee rosters and credential tracking logs.Compliance & Administrative Support
Serve as a point of contact for AAAHC and regulatory audits; ensure credentialing and HR documentation is always audit-ready.Assist with developing, implementing, and maintaining policies and procedures related to credentialing, privileging, and personnel records.Support the Administrator and leadership team with reports, meeting preparation, and quality assurance activities.Participate in compliance reviews and quality improvement initiatives.Assist in organizing staff education, training, and continuing education compliance.Qualifications
Education :
High school diploma or equivalent required.Associate's or bachelor's degree in healthcare administration, business administration, or related field preferred.Experience :
Minimum 2 years of experience in medical staff credentialing, HR, or healthcare administration (ASC or hospital setting preferred).Knowledge of AAAHC standards and accreditation requirements strongly preferred.Experience using credentialing software (e.g. Intellicred) and HR information systems.Certification :
Certified Provider Credentialing Specialist (CPCS) or Certified Professional Medical Services Management (CPMSM) preferred.HR certification (PHR, SHRM-CP, or similar) a plus.Skills and Competencies
Strong understanding of credentialing, privileging, and HR compliance standards.Excellent organizational and time management skills with attention to detail.Strong written, verbal, and interpersonal communication abilities.Ability to prioritize and manage multiple projects and deadlines.Proficient in Microsoft Office Suite and electronic document management systems.High level of confidentiality and professionalism in handling sensitive information.Working Conditions
