The Regional Support Specialist (RSS) provides critical administrative, operational, and customer service support to our branch offices, leaders, and agents. The RSS will work primarily in one location and will occasionally be asked to support other local offices. They will provide support digitally and in-person including, but not limited to, processing agent transactions, acting as a liaison with our different departments and business partners, general office administration & customer service. In addition, they are responsible for ensuring the agents are supported in their marketing efforts, especially social media strategy and supporting our marketing programs.
This position plays a significant role in driving the success of our key principle of helping our agents live exceptional lives.
Responsibilities : Office Organization
- In collaboration with our facilities and IT partners, ensure all items in the office remain in working order
- Ensure needed office supplies are sufficiently stocked and organized, mail is distributed
- Greet and direct agents / customers as needed
Agent Support
Provide white-glove service for agents and clients visiting our offices, promoting the teams available to support them in their businessSupport Agents with any technology, process, or operationally related questionsPromote a friendly, inclusive office culture that reinforces our agent value propositionWork with Agent Onboarding Team, as needed, to support agent onboarding processTransaction Support
Ensure our agents' transactions are complete for compliance, efficiently and accurately processed, commission payments are timely, and adjustments are avoidedScan physical checks, as neededPoint of contact, as needed, for following up on missing documentation or escalation of transactional issuesDatabase entry and updates - MLS, Transaction ManagerSystems review of Trident and Transaction Manager, issue resolutions submitted through OnBaseBranch Leader Support
Support Branch Manager, as needed, with maintaining office promotional items, sales meetings, new agent orientations, supporting office culture, and light social media marketingMinimum Qualifications :
2+ years experience in a professional setting with a strong customer first approach; Prior Real Estate office experience preferredExperience with marketing support, including marketing tools and social media preferredStrong written and verbal communication skillsTechnologically inclined to support basic operating systems including PCs and Macs and ability to navigate computer softwareProficiency with Microsoft OfficeAbility to communicate effectively with different audiences, including agents, branch managers, and operational support teamsCustomer focused, delivery oriented, ability to multi-taskWillingness to be "nimble" and adjust priorities, as neededAbility to travel to additional offices in the region on an as needed basisAbility to pass Background, Drug Screen and if applicable Medical (i.e. Vision, Hearing, or Physical) if Required by Client.
