Job description

Position Title : Administrative Assistant FLSA Classification : Non-Exempt Location : Central Office ( In Person) Summary : The Administrative Assistant supports each Pillar at NSO, handling tasks such as data entry, word processing, and program materials management. Additional responsibilities include assisting with mailings, delivering and picking up grants and proposals, coordinating with Board of Directors' committees (including meeting setup, refreshments, and minute-taking), providing Central Office administrative support, and participating in special events and activities as assigned by the supervisor. Responsibilities :

  • Completes word processing, spreadsheets (excel), Microsoft Outlook, editing, writing of letters, memos to staff, distribution of interoffice mail, etc. in a timely and accurate manner.
  • Provides support for filing system : files accurately and retrieves files when directed.
  • Assists in completion of grant proposals, including word processing when needed, organizing proposals, copying, collating, and mailing.
  • Ensures that leave slips, mileage logs, etc., from units and programs are signed and distributed in a timely manner.
  • Coordinates and prepares for various community meetings as requested.
  • Answers phone, takes messages and faxes documents to the units, etc.
  • Update and maintain Corporate Affairs database
  • Assist in the coordination of all NSO special events and fundraisers
  • Assist other units when necessary.
  • Accurately enter and maintain contact, gift and tracking data in database.
  • Create, adhere to and update data entry standards manual ensure currency of data be implementing ongoing and scheduled record updates (i.e. staff, board, following public elections, media, donor address changes, etc)
  • Prepare lists and mailings as requested by supervisor
  • Prepare thank you and acknowledgement letters.
  • Complies with and adheres to department and NSO policies and procedures.
  • Adheres to established quality and performance improvement standards.
  • Works effectively with others to accomplish goals / resolve problems.
  • Organizes work well and uses time effectively.
  • Maintains consistent work attendance.
  • Does not disrupt operations by being habitually tardy or absent; works as scheduled.
  • Professionally represents NSO and promotes NSO mission and vision statements.
  • Promotes a harmonious work environment.
  • Demonstrates expertise in his / her functional area, leveraging unique core of knowledge and skills to achieve results.
  • Ensures consumer satisfaction through process of monitoring, improving, and delivering excellence in program services.
  • Is open to new approaches and takes steps to increase knowledge, skills and abilities, both from within and outside NSO.
  • Complies with contractual and regulatory requirements, as needed.
  • Fosters commitment, team spirit, pride and trust.
  • Possesses good work ethic, drive, energy, and persistence to achieve goals. Takes accountability for job responsibilities.
  • Able to anticipate and bring about change when needed.
  • Performs other duties as assigned. Candidate Requirements :
  • GED or high school diploma required
  • 3 years of office experience
  • Bachelor's degree preferred
  • Proficient in computer software applications
  • Familiarity with standard office equipment
  • Excellent organizational and interpersonal skills
  • Good written and verbal skills
  • Good bookkeeping skills and ability to multitask.
  • Ability to create, maintain and retrieve files : ability to work independently and / or with a team.
