Job description

Bid Coordinator

Pridestaff has partnered with a leading Engineering firm who is looking to add a highly organized and detail-oriented Bid Coordinator. This role is essential for providing comprehensive administrative and operational support to the Estimating department within a commercial HVAC construction and service environment. The ideal candidate is a self-starter, problem-solver, and meticulous professional committed to efficiency and accuracy.

Our client is a well-established operation providing specialized HVAC construction and service solutions, including commissioning assistance, start-up support, and warranty services. They are committed to professionalism and delivering exceptional service to their customers.

Responsibilities :

Proposal Coordination : Coordinate job Request for Proposals (RFP) setup, document preparation, distribution, and tracking.

Documentation Management :

  • Prepare and maintain prequalification documents.
  • Maintain and update project resumes and field employee resumes for proposal requirements.
  • Assist with project setup and coding, including the processing of contracts, bonds, and insurance documentation as required.

Administrative Support :

  • Perform a variety of clerical duties to support overall business operations as needed.
  • Organize and streamline operational support documents and tasks.
  • Assist with meeting set-up, scheduling, and communication.
  • Prepare slide presentations for executive or internal meetings.
  • Data & Reporting : Create and maintain detailed spreadsheets for various departmental activities.

    General Duties : Fulfill other duties as assigned to ensure the smooth operation of the department.

    Experience :

  • Minimum of 2 years of prior experience working for an HVAC company is required .
  • Demonstrated construction administrative experience is required .
  • Prior experience working in a fast-paced, high-volume environment.
  • Technical Skills : Advanced proficiency in MS Word, MS Excel, MS Outlook, and Adobe Acrobat is required .

  • Proven ability to work independently as a self-starter and problem-solver.

  • Education :

  • High school diploma or GED required .
  • Associate degree preferred .
