About the Opportunity

We are hiring an Event Coordinator to plan and execute on-site logistics for our programs. You will be a key liaison between faculty, program participants, and venues.

Your decisions and execution will be key factors in determining the quality of the experience for everyone involved.

The ideal candidate has familiarity with planning and running multi-day residential events, including building relationships with venues and ensuring all logistics run smoothly.

Key Responsibilities :

  • Managing the full life cycle of retreat logistics, from event inception through production
  • Being present at our multi-day retreats and single-day events at various venues in the greater San Francisco Bay Area (events occur approximately every 3-4 weeks, primarily in the spring and fall)
  • Researching venues and building relationships with vendors
  • Communicating with participants, faculty and venues regarding retreat logistics
  • Managing storage and stocking of event supplies
  • Attending weekly team meetings as well as retrospective meetings following events (via video conference)
  • Contributing to improving our operations processes and documentation
  • Other duties as assigned
  • Attendance expectations : the Event Coordinator is expected to be on-site for a minimum of 12 events per year, which range from 1-5 days each.

The majority of events are held on weekdays or span both weekends and weekdays.

This is a part-time position for someone who has the ability to work remotely and to drive throughout the San Francisco Bay Area.

You must have access to a car, be willing to be at times on-site and at times on-call via text and phone during retreats & events, and have a flexible schedule.

We highly recommend pairing this role with another part-time role that is stable and flexible, so that you can attend meetings remotely on a regular schedule and also be on-site for events frequently.

This is an ideal position for someone looking for impactful work with a growing organization.

This role requires 10 hr / week of remote work (meetings via video conference; email communication; project management and execution), which is compensated with a salary of $1,500 per month (paid weekly).

In addition, you are expected to be on-site approximately every 3-4 weeks to staff our on-site events, for which you will be paid an additional $250-$2,000 depending upon the duration of the event (1-5 days).

You are expected to staff a minimum of 12 events per year and have the opportunity to staff up to 18 events (possibly more in future years).

Total possible annual compensation is $30,000-$35,000.

While health benefits are not included in this role, you are eligible for paid time off and for a 401(k) with a matching contribution.
