The Administrative Assistant provides comprehensive, high-level administrative support to the Vice President of Cybersecurity. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will demonstrate professionalism, discretion, and the ability to anticipate needs and take initiative while working independently and collaboratively across the organization.
The Administrative Assistant will serve as the primary point of contact for the Vice President, ensuring effective coordination, communication, and execution of daily activities that support the strategic goals of the Cybersecurity organization.
Key Job Duties & Responsibilities
- Provides executive-level administrative and operational support to the Vice President of Cybersecurity.
- Manages complex calendars, schedules meetings, and resolves scheduling conflicts with efficiency and professionalism.
- Coordinates travel arrangements, prepares detailed itineraries, and processes expense reports accurately and timely.
- Drafts, edits, and reviews correspondence, presentations, and reports, ensuring accuracy, clarity, and appropriate tone.
- Serves as a liaison between the Vice President and internal / external stakeholders, maintaining strong relationships and facilitating effective communication.
- Prepares agendas, organizes materials, and tracks follow-up actions for executive meetings and cybersecurity leadership sessions.
- Assists with tracking key cybersecurity initiatives, deliverables, and compliance milestones to ensure alignment with departmental objectives.
- Supports the preparation and monitoring of departmental budgets, purchase requisitions, and vendor coordination.
- Coordinates and executes internal events, meetings, and special projects as assigned.
- Handles confidential information with discretion and ensures compliance with company policies and cybersecurity standards.
- Proactively identifies opportunities to improve administrative processes and operational efficiency within the Cybersecurity organization.
Key Qualifications
Demonstrated experience managing complex schedules, travel, and communications for a technology or cybersecurity leader.Advanced proficiency in Microsoft Office 365 (Outlook, Teams, Word, Excel, PowerPoint, and SharePoint).Excellent written and verbal communication skills, with the ability to produce professional and accurate documents.Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously.Proven ability to maintain confidentiality, exercise sound judgment, and demonstrate a high level of professionalism.Ability to work effectively in a fast-paced, dynamic environment with minimal supervision.Preferred Position Specific Qualifications
Bachelor's degree in Business Administration, Communications, or related field.Experience in a large, matrixed organization, preferably within the energy, utilities, or technology sectors.Familiarity with cybersecurity terminology, organizational structure, and operational priorities.Experience supporting project management activities or technology initiatives.Strong interpersonal skills and ability to build relationships across departments and leadership levels.
