Executive Assistant Opportunity
A fast-growing start-up in Santa Monica is hiring an Executive Assistant on a contract-to-hire basis. The role requires an onsite presence, where the chosen candidate will support several executives by managing administrative tasks, ensuring efficiency in the day-to-day operations, and handling high-priority responsibilities with professionalism and discretion.
Key Roles and Responsibilities :
- Manage executives' calendars, including scheduling meetings, appointments, and travel arrangements to optimize their time and ensure smooth workflows.
- Prepare and manage expense reports, meeting materials, and correspondence on behalf of the executives, maintaining a high level of accuracy and confidentiality.
- Act as a liaison between executives and both internal teams and external stakeholders, ensuring timely and clear communication.
- Anticipate the needs of executives by identifying ways to improve efficiency, streamline workflows, and proactively manage challenges before they arise.
- Support the office as needed with managing office supplies, vendor relationships, facility maintenance needs, and meeting set-up.
The ideal candidate will have 5+ years of Executive Assistant experience, ideally in a fast-paced or high-growth environment. Proficiency with tools such as Google Workspace, Slack, and Zoom is required. A bachelor's degree is preferred but not mandatory for candidates with strong organizational skills and demonstrated expertise in supporting high-level executives.
This onsite role can pay $85-95k once permanent.
Requirements :
Minimum of 4 years of experience as an Executive Assistant, preferably in a fast-paced or high-growth setting.Proficiency in Google Workspace, Slack, and Zoom, with the ability to adapt to new tools quickly.Strong organizational skills and attention to detail, ensuring accuracy in all deliverables.Excellent communication and interpersonal abilities to interact effectively with executives, teams, and external stakeholders.Proven ability to manage multiple tasks and priorities under tight deadlines.Bachelor's degree is preferred but not required for candidates with significant relevant experience.Experience with travel arrangements, event planning, and vendor management.Demonstrated discretion and professionalism in handling confidential information.
