Job Overview The Administrative Assistant will serve as the welcoming face of our organization, overseeing front desk operations and delivering dynamic support across a range of tasks.
This jack-of-all-trades role requires strong organizational skills, a can-do attitude, and a passion for our mission in a fast-paced nonprofit environment.
Key Responsibilities Greet visitors, volunteers, and clients at the front desk, creating a warm and professional first impression.
Manage incoming calls, emails, and inquiries, directing them to appropriate staff or programs with efficiency and care.
Handle daily office operations, including maintaining office supplies and coordinating meeting logistics.
Assist with data entry and maintain accurate records in multiple databases.
Support event planning and execution, including fundraisers, community workshops, and board meetings.
Perform light bookkeeping tasks, such as processing purchase orders.
Manage the safety inspections and compliance for the building.
Take on ad hoc tasks as needed, from drafting correspondence to organizing files, to keep the organization running smoothly.
Contribute to a positive and office environment, embodying our nonprofit’s mission and values.
Qualifications High school diploma or equivalent; an associate’s or bachelor’s degree in a related field is a plus. 1+ years of experience in an administrative, front desk, or customer-facing role, ideally in a nonprofit or community-focused setting.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), familiarity with scheduling or database tools, and the ability to use creative products such as Canva.
Excellent interpersonal and communication skills, with the ability to engage diverse audiences warmly and professionally.
Strong organizational skills and the ability to juggle multiple tasks with attention to detail.
A proactive, problem-solving mindset and willingness to take on varied responsibilities.
Ability to maintain confidentiality and handle sensitive information with discretion.
