We are looking for an experienced and detail-oriented Executive Assistant to provide exceptional support to senior leadership in Virginia Beach, Virginia. This long-term contract position requires a highly organized individual who can effectively manage priorities, anticipate needs, and represent the organization with professionalism. The ideal candidate will bring strong communication skills, excellent judgment, and a proven ability to handle executive-level responsibilities. Prior experience supporting C-suite executives is highly preferred.
Responsibilities :
- Manage and maintain executive calendars, ensuring all meetings and appointments are scheduled efficiently.
- Coordinate and arrange travel plans, including booking flights, accommodations, and transportation.
- Organize and prepare materials for executive meetings, ensuring all necessary documentation is readily available.
- Act as a reliable point of contact between executives and internal or external stakeholders.
- Anticipate and address the needs of executives to optimize productivity and time management.
- Provide timely and accurate responses to emails, calls, and other communications on behalf of executives.
- Ensure confidentiality and discretion in handling sensitive company information.
- Collaborate with other team members to ensure seamless operations and support for leadership.
- Assist with preparing reports, presentations, and other executive-level documentation as needed.
- Handle urgent or emergency tasks with flexibility, including occasional evening availability.
- Minimum of 5 years of experience as an Executive Assistant or in a similar role.
- Proven ability to support senior executives, with C-suite experience strongly preferred.
- Exceptional organizational skills and attention to detail.
- Strong verbal and written communication abilities.
- Proficiency in managing complex calendars and scheduling systems.
- Experience coordinating travel arrangements, including international travel.
- Ability to exercise sound judgment and maintain confidentiality at all times.
- Proficiency with office productivity tools such as Microsoft Office and other relevant software.
