Development Coordinator

Job Description Summary
Under the direction of the Associate Director of Advancement Services the Development Coordinator will provide support for advancement services, alumni relations and development departments. Specifically, by maintaining and ensuring accuracy of data in Compass (Salesforce CRM), sending mass emails using Salesforce Marketing Cloud, processing gifts, assisting with reporting and stewardship, handling gift acknowledgments and pledge reminders, and assisting with meetings, visits, conferences, events and travel expense reimbursements.
Job Responsibilities
Master all aspects of the Compass database. Maintain and update advancement data in Compass, including alumni, donor, volunteer and scholarship recipient information for reporting, while ensuring accuracy and quality control and protecting the integrity of the School's advancement data through systematic audits of incoming data.
Process all gifts for the School and deliver documentation to Gifts Accounting and Administration as needed. Handle all pledge reminders and ensure that open pledge reports are accurate.
Assist with managing, reviewing, and providing advancement reports, on a daily, weekly, monthly and as-needed basis.
Assist with the stewardship program, including stewardship reports and activities. Prepare and send daily and weekly acknowledgments; including donor, custom, and third-party acknowledgements, while also recording them in Compass as needed.
Maintain proficiency in Salesforce Marketing Cloud to assist with sending mass emails on a regular basis and maintain proficiency in other products and systems to assist with tasks and projects, such as Qwilr and Smartsheet.
Assist with staff meeting planning and staff calendaring, including location reservation and arranging catering. Assist with planning donor visits and making arrangements for conferences and receptions. Assist with travel reimbursements and expenses as needed. Assist with school / department events throughout the year.
Serve as back up for and work closely under the supervision of the Associate Director of Advancement Services.
Perform other duties, as assigned.
Qualifications
High School Grad / GE Degree and 3 to 5 years of administrative support experience or equivalent combination of education and experience is required. Bachelor's degree is preferred, Institutional Advancement experience is also preferred; Salesforce experience a plus; ability to work independently; experience in the use of Microsoft Office products with strong proficiency in Microsoft Excel is required. Willingness to learn new software applications; excellent communication skills, both oral and written; excellent attention to detail and organizational and prioritization skills; ability to juggle multiple priorities within tight deadlines; excellent customer service skills; strong attention to details and accuracy; ability to work in a confidential environment.
