Job description

Administrative Assistant II

Our Client, a Energy Services company, is looking for an Administrative Assistant II for their Jackson, MI location. Responsibilities include :

Efficiently managing and coordinating the executives' calendars, ensuring all appointments, meetings, and events are scheduled and updated.

Scheduling and organizing meetings, including preparing agendas, taking detailed notes, and distributing minutes.

Ensuring that all materials are available prior to key meetings and helping with week-ahead preparation.

Preparing and submitting expense reports for the executives, ensuring accuracy and timely processing.

Planning and coordinating team events, including logistics, catering, and communication with attendees.

Partnering with other executive assistants within the P&C function to ensure seamless support and coordination across the team.

Embracing change and demonstrating agility in responding to shifting priorities and demands.

Requirements :

Proficiency in Microsoft Outlook, Excel, and Teams.

Strong attention to detail and management across three different clients.

Strong organizational and time management skills.

Excellent written and verbal communication abilities.

Ability to handle sensitive information with discretion.

Proven experience in a similar role supporting senior executives.

High level of adaptability and agility in a fast-paced environment.

Experience in the HR function or related field.

Bachelor's degree in Business Administration or a related discipline.

The ideal candidate will be proficient in Microsoft Outlook, Excel, and Teams, and will excel in a dynamic, fast-paced environment.

This candidate will be adept at adjusting priorities and keeping up with shifting demands.

This role requires exceptional multitasking abilities, strong communication skills, and a proactive approach to problem-solving.
