Your Role : Orchestrate the Operations of Ritz Builders

As the Office Manager, you’ll be the operational hub of our business—keeping our projects,

people, and processes running smoothly. You’ll manage day-to-day administration, support

project execution, and be the first line of communication for clients, vendors, and staff. By

building strong systems and fostering clear communication, you’ll create an organized,

professional, and client-centered environment.

You Will :

Manage Office & Operations

  • Oversee day-to-day office administration, scheduling, and record-keeping.
  • Maintain company compliance documents, licenses, and insurance files.
  • Implement and refine office processes to improve efficiency and accuracy.

Support Projects & Field Teams

  • Assist with permitting, contracts, and project documentation.
  • Track RFIs, change orders, subcontractor agreements, and lien releases.
  • Coordinate inspections, city communications, and vendor compliance.
  • Finance & HR Administration

  • Assist with payroll, timesheet collection, and expense reports.
  • Process invoices, accounts payable / receivable, and vendor payments.
  • Support employee onboarding, HR documentation, and training records.
  • Client & Vendor Relations

  • Serve as a point of contact for client communications.
  • Manage schedules, meetings, and correspondence with subcontractors and suppliers.
  • Ensure professional, timely, and clear communications across all stakeholders.

    Qualifications

    Required :

  • 3+ years of office management or administrative experience (construction industry
  • preferred).

  • Strong proficiency with MS Office / Google Workspace; comfort with project management
  • tools, CRM platforms.

  • Solid organizational, multitasking, and problem-solving skills.
  • Excellent written and verbal communication abilities.
  • Bonus Points :

  • Experience in construction, architecture, or real estate environments.
  • Familiarity with permitting processes and property development documentation.
  • Knowledge of basic accounting principles or QuickBooks.
