Pay Rate / Range : The budgeted salary range that the University reasonably expects to pay for this position is $50,120 - $56,000 / year at 70% time ($71,600 - $80,000 / year at 100% time).

Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position at 70% time is $50,120 - $89,180 / year ($71,600 - $127,400 / year at 100% time).

Department Marketing Statement :

The UC Santa Barbara Office of Development blends the strengths of both a centralized and a decentralized operation. Although all development officers report to the Associate Vice Chancellor for Development or his / her designee, some are dedicated to specific schools and units, working hand-in-hand with Deans, Directors and faculty to secure private support. Additional development officers focus on specific regions of the country and / or are dedicated to increasing involvement by alumni, Job Standards and friends. A strong central core initiates programs, or provides guidance and expertise, in foundation relations, planned giving, capital projects, donor stewardship, The UCSB Foundation and other areas of specialization. An integrated tracking and coordination system ensures a collaborative and smooth working environment, all aimed at enhancing UC Santa Barbara's attractiveness to, and involvement with, the private sector.

Brief Summary of Job Duties :

The Associate Director is responsible for the strategic planning and execution of Development events, ensuring that each experience reflects the highest standards of excellence. This role focuses on managing all aspects of event production while prioritizing the engagement and recognition of donors and community partners. Events are designed to deepen relationships and enhance donor engagement in alignment with the university's mission and values. Events include fundraising events, stewardship events, volunteer board and committee meetings; private and public seminars and lectures; private receptions and dinners; large events with 400+ donors, local or regional Campaign events in Santa Barbara and throughout the nation attended by donors, and donor recognition events such as endowed chair inaugural festivities, facility dedications or building naming celebrations. Event attendees may include university and public dignitaries, politicians, celebrities, prominent local and national business leaders, UCSB Foundation Trustees, Chancellor's Council members, major donors and prospects, and alumni. Approximately 50-60 events are managed each year by the Development Events Team. The Associate Director interfaces with external audiences or donors on a daily basis, as well as campus internal stakeholders. The Associate Director works to ensure that all aspects of his / her development program are internally consistent, thematically related, thoroughly coordinated with all development teams and compatible with the policies and priorities of the Development Office and University.

Required Qualifications :

  • Bachelor's Degree or equivalent combination of education and experience
  • 1-3 years of experience in event planning and coordination
  • 1-3 years of experience providing strong customer service skills with internal and external constituents
  • 1-3 years of experience coordinating with facilities and operations to ensure the appropriate setup for events and serving as the liaison to marketing & communications
  • Must have excellent communication and interpersonal skills and strong customer service orientation

Preferred Qualifications :

  • 1-3 years of experience providing superior guest experience, events and stewardship for major and principal donors and prominent alumni
  • Special Conditions of Employment :

  • Ability and willingness to do some light travel.
  • Ability and willingness to work some evenings and weekends.
  • Required to hold a valid driver's license, have a driving record that is in accordance with local policies and procedures, and / or enroll in the California Employer Pull Notice Program.

    Job Functions and Percentages of Time :

  • Event Strategy & Administration 50% - - Independently develops, designs, plans, manages and executes all aspects of a wide variety of donor fundraising events and business meetings in support of the comprehensive and complex fundraising program at UCSB. - Works in concert with and provides event planning leadership for Development Officers, senior campus administrators, donors and volunteers, and support staff, which requires comprehensive understanding of campus fundraising goals and objectives as well as knowledge of event trends and popular themes in order to accommodate a variety of standards and expectations within different geographical and social communities. - Responsible for full budget oversight, tracking, and reconciliation of all assigned events. Manages all aspects of event-related expenses-from initial planning through final invoice closure-ensuring compliance with university policies and fiscal accuracy. Oversees vendor contracts, monitors expenditures, and ensures timely payment and documentation of all invoices. - Interfaces daily with donors and community partners to support the planning and execution of engagement-focused events. Builds and maintains strong relationships to foster long-term stewardship and continued involvement. Collaborates closely with development officers to ensure events are aligned with donor interests and contribute to meaningful relationship-building. - Regularly interacts with University Trustees, donors and volunteers for event support purposes and creating networks.
  • Event Planning & Execution 50% - - Evaluates needs for goods and services and negotiates with vendors and service providers; develops and produces event budgets and monitors costs against established budgets, ensuring that all activity is performed in compliance with University policy and procedures and audit requirements. - Contributes to and participates in long-range event planning including the development and implementation of event budgets. - Ensures smooth-running, effective events, including successfully recognizing and resolving potential and real problems in a timely manner using tact, sensitivity, discretion and political acumen. - Plans, organizes, and identifies real and potential event locations and vendors. - Creates and articulates concepts for marketing, invitations, caterers, decorum, etc., and directs and oversees the implementation of those services. - Directs and manages production of all printed materials such as invitations, programs, maps, briefings, agendas, etc. - Recruits event support staff and provides on-site direction and training as needed. - Maintains appropriate inventory of supplies and materials.
