Objectives of this role
- Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests
- Maintain workflow by analyzing and refining standard operating procedures, such as scheduling, communications, and office layout
- Coordinate internal and external resources to expedite workflow
- Oversee and achieve organizational goals while upholding best practices
Responsibilities
Provide administrative support to senior leaders, including email correspondence and generation and distribution of memos, letters, spreadsheets, forms, and faxesPlan, organize, and schedule company meetings in the office, off-site, and via videoconferenceCoordinate domestic and international travel arrangements for employeesMaintain filing system, contact database, employee list, and inventoryOrder and oversee day to day office activities, including, but not limited to :Onboarding new consultantsManaging company websiteManaging and overseeing central mailboxesCompleting or gathering information for certifications for the companyRequired skills and qualifications
3-5 years of administrative assistant or project coordination experienceProficient in Microsoft Word, Excel, PowerPoint, Share Point, and OutlookExcellent oral / written communication, interpersonal, and organizational skillsAble to deliver engaging, informative, and well-organized presentationsAble to adapt and react calmly under stressful situationsAble to handle multiple assignments, set priorities, and meet deadlinesStrong ability in prioritizing, problem solving, and attention to detailAble to work in a team environmentAble to work independently and flexibly with minimal supervisionAbility to represent department / function in a professional, courteous, and efficient mannerAble to deliver engaging, informative, and well-organized presentationsAbility to communicate verbally and in writingAble to maintain confidentiality of sensitive informationAbility to follow complex written or verbal instruction to solve problemsAble to lead small projects as needed.Preferred skills and qualifications
