PURPOSE
To perform Administrative functions which may include, but not be limited to, assisting Professional Staff, Deputy Chiefs, and the Executive Assistant with daily professional tasks and activities.
DESCRIPTION
A full-time, non-exempt, hourly employee who reports directly to the Chief of Staff.
QUALIFICATIONS
- Education and Experience :
High school diploma or
Typing speed of 60One (1) year experience in the administrativeNotary of Public preferred.Job Knowledge :Possess good telephone technique and
Microsoft Office applications (including knowledge in MS Outlook, Excel and Word).Strong analytical and problem solving skills, attention to detail, and prioritization of deadlines.Ability to improve workflows and streamlineCommunicate effectively with management both verbally and inSkills - The ability to :Analytical - complex or diverse information; Collects and researches data; Uses intuition and experience to complement data; Designs workflows and procedures.

Acts as a point of contact among executives, employees, and other externalAssists with daily administrative functions, tasks, and support to Professional Staff and Deputy Chiefs asReceives and signs for subpoenas and other official documents as requested and route to correct Department.Assists in meeting preparation and taking minutes, schedules conference calls, teleconferences, and meetings through Outlook.Assists in Policy and Procedure updates and maintain policy trackingMaintains an effective working relationship with all levels of personnel and theMaintains copier and all other office equipment located in the administrative area and call for maintenance when needed.Attend meetings and take meeting minutes as requested by Professional Staff, Deputy Chiefs and Executive Assistant.Prepares and posts memos, updates policies and procedures, communication drafting, , and other documents asFiles and retrieves patient records, documents, andMaintains professional and technical knowledge by attending workshops andContributes to a team environment by working as a liaison across all departments.Organize and order office supplies.Makes travel arrangements and assist in completion of expenseCoordinates and plan company sponsored events asServes as backup to front desk reception as necessary.Assists other departments / areas as requested by the Chief of Staff.Maintains confidentiality and privacy of information andFollow’s SCCAD’s HIPAA policy and procedures for obtaining information from patients or their authorized representatives to release medical records.Assists the Executive Assistant for Board related items, including Board Packet preparation and back up for Board Meetings.Performs other duties as assigned by the Chief of Staff.PHYSICAL DEMANDS
