The Opportunity
Provide administrative support to members of the management team to ensure daily operation of front office, plan, organize, and schedule events, meetings, presentations, and customer / vendor visits; support accounting team with daily invoicing, job close outs, and accounts payable duties, and maintain office inventories / 5S.
Monitor front door and phone system.
Schedules and organizes activities such as meetings and departmental activities.
Acts as a liaison with other departments, other facilities, customers, and vendors.
Works independently and within a team on special / non-recurring and ongoing projects, which may include planning and coordinating presentations, disseminating information, and organizing events.
Prepare appropriate spreadsheets / documents for reporting and proper filing.
Track office supplies inventory daily, order as needed.
Maintains copy machines / printers and other office equipment within various locations of the department.
Assists GM and other members of the management team with administrative tasks.
Complete customer invoicing daily.
Review, correct, and close production jobs daily.
Assist with month-end closing each month.
Maintain front office 5S compliance.
Receive and distribute package deliveries daily.
Assist AP with filing, resolving vendor issues, PO issues, etc.
Retrieves information as required.
Generates and distributes reports as required.
Attends / participates in meetings as required.
Train in other duties and maintain ability to back-up other team members as needed
Performs other job duties as assigned.
What You Need To Succeed
High school diploma or G.E.D.
Minimum one year of relevant experience required; two years preferred.
Demonstrated ability to read and interpret documents such as safety rules, procedural manuals, accounting reports, production reports, shipping / receiving documents, etc.
Always maintain confidentiality of all information.
Intermediate computer skills (email, routine database activity, word processing, spreadsheets, graphics, power point, AS / 400, Schedule Assistant, JDE, etc.)
Ability to maintain good attendance & reliability.
Willing to work overtime as needed; significant overtime may be required during high volume periods.
Able to perform all essential functions of this job with or without reasonable accommodation.
