Overview
The Concierge is often the initial contact and first impression that many people have of Sunrise Senior Living. The Concierge greets potential residents, families, and visitors, manages external and internal calls, and takes and communicates messages. The role provides an overview of community information to inquiries in support of the Director of Sales (DOS) and Executive Director (ED). The Concierge also assists in the community recruitment process, data entry, and other general administrative duties, and monitors the Bistro area for refreshments, cleanliness, and ambiance.
Responsibilities
Oversee the community entry area for visitors, guests, and residents; extend a warm welcome and greeting; provide beverages; ensure community safety protocols are in place.
Coordinate with the DOS, ED, or Department Coordinator to meet with prospective residents, families, or visitors and minimize wait times.Greet potential candidates, direct them to apply online, or capture candidate information into the Applicant Tracking System (ATS) to launch recruitment.Answer incoming calls with the appropriate greeting and identification, and take complete messages with pertinent information.Provide a community overview to callers, determine appropriate transfer person, and notify the caller of transfers.Manage appointments for residents and family members (e.g., hairdresser, transportation).Send get well cards to residents in the hospital; order Memory Flower for residents who have passed away; send sympathy cards as needed.Sales and MarketingOrder flowers and name plates for new residents prior to move-in; arrange guest meals for move-in day.
Create and maintain marketing and move-in packet inventory; support the DOS with lead tracking and CRM data entry as applicable.Assist with administrative duties pertaining to the resident move-in process.Front Desk and BistroKeep desk and entry area neat and organized; monitor Bistro for cleanliness; ensure snacks and beverages are available; maintain the popcorn machine and restock as needed.
Maintain background music throughout the day; ensure coverage when stepping away to complete duties.Risk ManagementCoordinate with the community to ensure compliance with health and safety regulations; promote Risk Management programs and policies.
Follow safety procedures including PPE, fire extinguishers, SDS, and Lockout / Tagout; maintain rosters and schedules for emergencies.Support the Safe Leaving Program and ensure resident safety while meeting Sunrise Service Standards; respond to emergencies per policies.AdministrativeUpdate resident phone lists, move-in / move-out registers, guest logs; prepare meal tickets and tally meal counts; process money per internal controls.
Organize and distribute mail and newspapers; post daily menu and maintain resident forms; assist with recruitment data entry and supply management.Monitor and order office supplies; track and disperse team member paychecks.Training and Team SuccessParticipate as a team member; model the Team Member Credo; serve residents and guests through Principles of Service.
Engage in programs and surveys; attend regular meetings; maintain required trainings; perform other duties as assigned.Qualifications
High School degree / GEDProven customer service experienceProficiency in computer skills, Microsoft Office, and Sunrise applications; ability to learn new applicationsIf applicable, all Sunrise team members who drive a Sunrise vehicle must sign the Driver job description and understand key duties for safety and regulatory complianceBenefits
