The Executive Assistant to the CEO serves as a high-trust partner, providing advanced administrative, operational, and analytical support to the CEO of a multi-entity organization. This role is responsible for streamlining executive operations, managing sensitive communications, coordinating enterprise-level initiatives, and delivering data-driven insights through Excel and Power BI. The ideal candidate is organized, tech-savvy, discreet, and thrives in a fast-paced, evolving environment.
Key Responsibilities
Executive Support
- Manage and optimize the CEO’s calendar, meetings, and travel across multiple business entities.
- Prepare executive-level correspondence, board materials, and presentations with minimal direction.
- Coordinate internal and external meetings, including agendas, logistics, follow-ups, and documentation.
- Monitor and triage emails, inquiries, and time-sensitive requests on behalf of the CEO.
- Plan and support executive events, quarterly business reviews, and offsite meetings.
Data and Reporting Support
Develop and maintain spreadsheets, dashboards, and metrics in Excel and Power BI.Analyze trends, generate insights, and present data in a clear, actionable format for executive decision-making.Maintain data integrity across reporting tools and ensure confidentiality of business intelligence.Enterprise Communication & Liaison
Serve as a communication bridge between the CEO and internal teams, external partners, and stakeholders.Anticipate the CEO’s needs, proactively manage priorities, and resolve administrative or scheduling conflicts.Represent the executive office with professionalism and confidentiality at all times.Skills, Knowledge and Expertise
5+ years of experience supporting a C-suite executive or high-level leader.Advanced proficiency in Microsoft Excel (pivot tables, formulas, data summaries) and Power BI.Proven ability to manage complex schedules, anticipate needs, and coordinate across departments.Strong written and verbal communication skills with attention to detail and discretion.Bachelor’s degree in Business, Communications, or a related field preferred.Prolonged periods working at a computer.Occasional lifting (up to 15 pounds).Ability to manage frequent interruptions and maintain composure under stress.Minimal travel may be required.Benefits
