Job description

The Finance Coordinator plays a key role in supporting the Finance Manager and ensuring the accuracy and integrity of @the Grounds' financial operations. This position assists with accounts payable, receivable, invoicing, and reconciliations while maintaining organized financial records and consistent communication across departments.

Success in this role means maintaining precise, transparent, and well-organized financial records that support the smooth operation of @the Grounds' diverse events and programs. The Finance Coordinator ensures invoices are processed and paid on time, billing is accurate and complete, and financial reports are delivered without error. A successful individual in this position communicates clearly with internal teams, vendors, and clients, anticipates financial needs before they arise, and contributes to a culture of accountability, collaboration, and excellence across the organization.

Essential Duties & Responsibilities

  • Provide administrative and clerical support to the finance and accounting department, including preparing reports and internal communications.
  • Collaborate closely with the Finance Manager to ensure all accounting tasks are completed accurately and efficiently.
  • Process invoices, maintain detailed financial records, and prepare accounts payable check requests.
  • Create client invoices and track billing and payments through the organization's event-based CRM.
  • Verify all required documentation (insurance, security deposits, permits) is received prior to scheduled events.
  • Finalize event billing upon completion, ensuring timely issuance and collection of payments, as well as refunding of deposits when applicable.
  • Audit and invoice all third-party vendors and concessionaires, ensuring timely and accurate payments.
  • Assist with daily and event-based cash reconciliation processes.
  • Support all financial tasks and reporting related to the annual Placer County Fair.

Qualifications

  • Positive, approachable, and professional demeanor with the ability to build rapport across departments and with external partners.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail and accuracy, with the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, Outlook).
  • 1-2 years of experience in a finance, accounting, or administrative support role demonstrating reliability, confidentiality, and consistency.
