My client, a nationally recognized Architecture firm, is seeking a dynamic individual for the role of Austin Office Manager.
The ideal candidate should have at least 5 years of administrative support experience. Responsibilities include managing schedules, coordinating travel, handling correspondence, and overseeing project administration.
Key Responsibilities :
- Monitor project pursuits, provide marketing support, and track progress.
- Manage schedules for key studio members and the office, prioritizing conflicting requests.
- Handle email, mail, and follow-up on items requiring attention.
- Compile and submit expense reports, coordinate subscriptions, and memberships.
- Arrange domestic and international travel for studio teams.
- Coordinate studio meetings, speaking engagements, and contributions.
- Oversee routine janitorial, maintenance, and repair projects.
- Manage contacts with building-related services, order inventory, and establish organizational processes.
- Respond to emergencies and maintain office compliance.
- Provide executive support by managing and maintaining schedules for key personnel, including the Partner.
- Prepare draft correspondence and arrange detailed travel plans.
- Monitor continuing education credits, sign up for CE courses, and provide support for personal matters.
Qualifications :
- Excellent communication and organizational skills.
- Strategic thinking ability.
- Proficient in Microsoft Office and Adobe Acrobat.
- 5+ years of administrative support experience.
- Strong multitasking skills.
