The Conflicts and New Matter Specialist will manage the firms conflict review and new matter intake processes. Working closely with the Chief Administrative Officer, this individual ensures that all new clients and matters comply with the firms conflict-of-interest policies, professional responsibility obligations, and internal quality standards.
Key Responsibilities :
- Oversee the conflicts check process for new clients, matters, and lateral hires.
- Review and analyze conflict reports, identifying potential issues based on client relationships, matter history, and party involvement.
- Collaborate with attorneys and the Chief Administrative Officer to resolve potential conflicts and document conflict waivers as needed.
- Ensure timely and accurate opening of new matters in the firms case management and billing systems.
- Maintain and update the firms client / matter database to ensure data integrity.
- Draft and maintain internal protocols for matter intake, conflict resolution, and engagement letter procedures.
- Provide training and guidance to attorneys and staff regarding conflicts policies and intake procedures.
- Liaise with billing, IT, and administrative teams to ensure alignment on data practices and compliance documentation.
Qualifications :
A Juris Doctor is preferred, but candidates with strong paralegal experience are also encouraged to apply.3+ years of experience in a law firm or corporate legal environment, with a focus on conflicts, intake, or risk management.Strong understanding of professional responsibility rules and law firm operations.Excellent analytical, research, and problem-solving skills.High attention to detail and data accuracy.Proficiency with conflict and document database systems (e.g., Clio and NetDocuments).Ability to manage multiple deadlines in a fast-paced professional environment.
