SUMMARY OF DUTIES :
Responsible for office administration, and general administrative support of management and engineering teams. Serve as the primary daily contact for tenant relations including use of work order systems, and vendor coordination.
Administrative
Oversight of the access control system.Responsible for Management Office operations including maintenance, equipment, and supplies.Maintain, update, and distribute emergency procedures and all contact lists.Assist in accounts payable and monthly reporting process as directed.Maintenance and distribution of lease documents, such as commencement letters, tenant certificates of insurance, tenant billing, and tenant correspondence.Answer and direct all incoming phone calls. Provide assistance when possible and route calls to appropriate employees and / or dispatch personnel based on immediate needs.Greet visitors and tenants.Sort, organize and distribute all incoming mail.Prepare and send all outgoing mail and packages including certified, overnight, and special deliveries.Provide support to Property Management and Engineering teams by producing, modifying, and / or distributing various forms, spreadsheets, manuals, information packages, and miscellaneous type-written information.Process correspondence with tenants, contractors and other third parties for Property Management and Engineering teams.Create and maintain various manual and electronic filing systems in an accurate and organized manner. Ensure that all filing and scanning is completed on a timely basis. Review, purge and forward files to appropriate storage location in accordance with company record retention policy.Create / update mail merge database and prepare correspondence for large mailings.Organize, compile, and prepare reports for distribution.Manage conference room calendar and monitor use.Coordinate lunches, meetings and building events.Support other special requests or projects as requested.Operations and Customer Service Support
Input, monitor and track tenant service requests. Dispatch requests to staff / vendors as needed ensure all tenant requests / complaints are handled in a timely manner. Escalate issues to the appropriate property management staff, as necessary. Notify Property Manager of repeat complaints or unusual and / or unreasonable requests.Provide high quality of customer service and take an active role in building tenant relationsAssist with program to maintain a first-class building / property including :Regular inspection of public areas, tenant space, and windows.Recording communication and follow through of deficienciesEnsure proper coordination with engineering for all building work and testing and communicating such work to the tenants. Provide tenants and vendors with assistance in all aspects of scheduling building maintenance, communicating building procedures and supplying general building information.Oversight of Fitness Center operations including registering new members, maintenance, and supplies.Coordinate all tenant move ins and move outs.Assist with contract administration and maintenance of vendor certificates of insurance as requested.Follow-up with tenants to ensure service requests are completed to their satisfaction.Coordinate meetings, trainings, and events.Perform additional duties as assigned by Supervisor.QUALIFICATIONS

High School diploma.
