Responsibilities :
- Manage day-to-day office operations, including answering phones, receiving visitors, handling mail, managing supplies, coordinating conference rooms, and overseeing vehicle registration and maintenance.
- Ensure timely resolution of housekeeping and building maintenance issues.
- Provide clerical assistance to all office staff and possibly other offices within the firm.
- Register employees for conferences and seminars and make necessary travel arrangements.
- Assist with accounting duties, including entering various logs and coding accounts payable and Visa invoices.
- Assist Project Managers in setting up projects from contract documents.
- Aid in the preparation of proposal letters, professional services agreements, and bidding documents.
- Coordinate meetings, maintain project filing systems, and prepare reports as required.
Requirements :
- Bachelor’s degree and three years of administrative experience managing an office preferred.
- Experience working with an engineering firm is required.
- Experience with Deltek ERP software is required.
- Knowledge of basic accounting principles required.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Effective verbal and written communication skills.
- Experience reading and interpreting contracts is a plus.
