Job description

Studio in a School Association (Studio) is seeking a detailed-oriented, dedicated, and collaborative accounting professional to join our team as the Billing Clerk (Part-time). The Billing Clerk will provide support for Studio's Accounts Payable and Accounts Receivable functions. This position offers a valuable opportunity to gain hands-on experience in various aspects of accounting operations while contributing to the growth and success of the organization.

The Billing Clerk is a part-time, non-exempt, non-union position and expected to work approximately seven hours per week. The Billing Clerk will report to the Associate Director of Payroll and Accounting.

Studio in a School Association fosters the creative and intellectual development of young people through quality visual arts programs, directed by professional artists. The organization also collaborates with and develops the ability of those who provide or support arts programming and creative development for young people both in and outside of schools.

Primary Duties and Responsibilities :

Accounts Payable (AP) :

  • Review and process all check requests and invoices; communicate with vendors as needed.
  • Scan and file AP back-up as needed.
  • Print and prepare all vendor checks for review and signatures.

Accounts Receivable (AR) - Contributed income :

  • Assist in depositing and recording incoming checks in our system.
  • Accurately record all DOE payments and contributed revenue, including pledges and pledge payments in the general ledger.
  • Assist in preparing DOE invoices for payment on a monthly basis.
  • Consistently follow up with DOE and partner schools regarding unpaid invoices to obtain payment for services rendered; process and record those payments; maintain payment logs.
  • Audit Preparation :

  • Support the annual preparation of audited financial statements.
  • Other duties and ad-hoc projects assigned.

    Required Skills and Background

    Education and Experience

  • Bachelor's degree in accounting or a related field.
  • Two years of experience with Blackbaud Financial Edge NXT or similar software.
  • Experience in a nonprofit organization or related role is preferred.
  • Familiarity with Microsoft Suite, including Excel.

  • This position would be asked to work from the office one day per week.

  • Pay Rate

  • The hourly rate for this position is $29.00 - $33.00 based on experience.
