POSITION SUMMARY :
This position requires a high comfort level using databases and the Microsoft Office Suite, attention to detail and a strong affinity for database procedures and financial processes. They will have office management experience and will be organized in terms of workspace, files management and workflow. This professional must be able to work productively with a variety of work styles and personalities and be committed to serving our kids for the long term.
KEY RESPONSIBILITIES :
Database Administration
- Manage the Donor Perfect database, serving as the expert on data entry and reporting.
- Ensure the accuracy of donor data, including regular procedures to correct duplicate records, update fiscal year information, monitor reporting accuracy, and assist other staff with management information dashboards and reporting needs.
Development Office
Produce accurate and timely donor correspondenceInput data from donations and update donor informationInvoice donors for pledges and donationsManage incoming mail, code donations and process checksRespond to requests for honor and memorial giftsCollaborate with the Campaign & Events Manager to support meeting logistics by preparing printed materials, food and beverage orders, seating charts and nametagsServe as our primary contact for matching gifts, the State Employees Combined Campaign, state fundraising licensure, online databases such as GuideStar, etc.Manage supply of letterhead, envelopes and other resourcesSend sympathy and congratulatory cards to members of Boys & Girls Clubs familyFinancial Reporting and Reconciliation
Collaborate with the Office Manager to reconcile bank and donation recordsSupport the annual and quarterly audit processResponsible for components of the annual reportCampaigns and Events
Collaborate with the Campaigns & Events Manager to produce timely and accurate revenue reports, donor lists, name tags, pledge cards, and thank you mailingsAdditional Responsibilities
Serve as one of several staff who monitor the main phone line and serve as the first point of contact for visitors.Assume other duties as assigned or that may arise from time to time.SKILLS / KNOWLEDGE REQUIRED :
A minimum of two years’ work experience in a non-profit development office, specifically with responsibility for database maintenance and donor communications. Additional administrative experience, especially in receiving and recording revenue can substitute for non-profit experience.Strong oral and written communication skillsAbility to establish and maintain effective working relationships with staff, Board Members, volunteers, community groups, and other related agencies.MEASURES of SUCCESS :
Accurate and Timely Gift ProcessingAll donations are processed promptly and accurately, with proper documentation and tracking systems in place.Maintain Detailed Donor RecordsKeep comprehensive and up-to-date records of donors, including their giving history, preferences, and communication details.Streamline Fundraising EffortsCollaborate with the development team to integrate gift processing with fundraising strategies.
