Job description

Division Support Coordinator

We are looking for a master multi-tasker with excellent communication skills, an upbeat attitude, and a professional demeanor to join our team as the Division Support Coordinator. The Division Support Coordinator plays a crucial role in ensuring the smooth and efficient operation of office functions within the Oklahoma State Department of Education. This position is responsible for providing comprehensive administrative support while fostering collaboration with procurement officers, approvers, and suppliers to streamline workflow processes.

Please note : This role requires full in-person attendance, with no options for remote work, telecommuting, or hybrid arrangements. The nature of this position necessitates a consistent in-person presence, and candidates should be prepared to fulfill all responsibilities on-site at the designated workplace in Oklahoma City, Oklahoma.

Minimum Qualifications :

  • Bachelor's degree in Business or related field [official transcripts required upon hire];
  • Two (2) years of clerical or office experience.
  • Or an equivalent combination of education and experience.

Special Requirements :

  • Applicants must be currently authorized to work in the United States on a full-time basis without sponsorship now or in the future;
  • Successful completion of a pre-employment background check;
  • Must possess a valid driver's license from a U.S. state or territory to perform necessary job-related travel.
  • Essential Functions :

  • Knowledge & Expertise : Strong problem-solving and multitasking abilities. Ability to work independently, prioritize tasks, and meet deadlines in a dynamic environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Familiarity with state or federal agency operations is a plus.
  • Administrative Support and Coordination : Serve as the primary administrative support for the division, ensuring seamless daily operations. Schedule meetings, manage calendars, and coordinate travel arrangements for team members as needed. Prepare and distribute meeting agendas, document minutes, and track follow-up items to facilitate effective team communication. Maintain accurate records, reports, and documentation, ensuring timely submission and storage in compliance with department policies.
  • Procurement and Financial Coordination : Collaborate with procurement officers, approvers, and suppliers to streamline procurement processes and manage purchase orders. Assist in preparing and processing purchase requisitions, invoices, and other procurement documents.
  • Resource Management : Assist in the management of division resources, including office supplies, equipment, and facilities. Monitor inventory levels and coordinate procurement activities as needed.
  • Professional Demeanor : Maintain a positive, empathetic, and professional attitude at all times; ability to build and maintain positive work relationships; demonstrate integrity and ethical conduct in all aspects of your work; ability to display a high level of professionalism in communication, behavior, and appearance; ability to accept constructive feedback to increase performance.

  • Physical Demands and Work Environment :

    Location : Oliver Hodge Building, Oklahoma City, Oklahoma

    Work Environment includes :

    Office Setting : Climate-controlled office setting with exposure to moderate noise; the employee is frequently required to talk, walk, and stand; this position requires long periods of sitting and daily use of computer and phone. Must be able to remain in a stationary position 75% of the time.

    Physical Demands include :

    Ability to stand, reach and bend 50% of the time;

    Operates a computer and other office productivity machinery, such as a calculator, copy machine / printer, office telephone 75% of the time;

    Ascends / descends stairs 25% of the time;

    Ability to lift to 25 lbs.

    Cognitive Requirements :

    This role requires clear and accurate communication, strong analytical skills, and the ability to evaluate information and make timely decisions.

    Sustained focus and attention to detail are essential, along with memory retention of policies, procedures, and facts over various time frames.

    Adaptability and mental flexibility are also necessary to handle changing information, work conditions, and unexpected challenges.

    Travel :

    Less than 10% in-state / out-of-state travel may be required.
