Job description

Grants Coordinator

The Department of Public Safety's mission is to enhance the safety and security of all Arkansans through ethical, character-driven behavior that promotes professionalism, clear communication, and accountability while serving as the state's premier public safety agency.

This position is Safety Sensitive and is subject to pre-employment, random, and for-cause drug screenings.

This position is established under a Federal Grant Program and is responsible for overseeing highway safety sub-grant projects.

Assists grant applicants with problem identification and determining program area needs, provides technical assistance with grant application procedures, reviews grant applications and recommends approval / disapproval.

Participates in the establishment of grant priorities and allocation of resources.

Prepares sub-grant agreements.

Conducts on-site monitoring and assessments and prepares monitoring reports.

Collects and analyzes crash data, reports, and project evaluations to identify problem areas and ensure compliance with state and federal highway safety guidelines.

Processes sub-grantee reimbursement requests, activity reports, travel authorizations, agreement amendments, and other project forms.

Maintains project agreement files.

Coordinates and collaborates with various law enforcement, judicial and highway safety program personnel to provide technical assistance and monitor sub-grantee financial and operational status.

Participates in the procurement of professional services contracts by drafting the specifications for the request for proposals and working with the OSP throughout the bid process to secure services.

Oversee and manage the implementation of special projects.

Compiles periodic programmatic reports.

Adheres to federal and state regulations related to the Highway Safety Program.

The Grants Coordinator plays a key role in supporting the administration and oversight of grant applications and processes. This position coordinates the preparation, submission, and monitoring of grant proposals, ensuring that they comply with state and federal requirements. The Grants Coordinator assists in the management of active grants and serves as a liaison between grant applicants, recipients, and internal departments.

Coordinate the preparation and submission of grant applications and proposals. Ensure that all required documentation is accurate, complete, and submitted promptly. Monitor active grants, ensuring that progress reports, financial statements, and other documentation are submitted as required. Assist in the development and maintenance of grant tracking systems to ensure accurate and up-to-date records. Review and process invoices, budgets, and reports related to grants. Provide support and guidance to grant recipients regarding the administration of their grants. Coordinate communication between the grants team and external stakeholders, including funding agencies and grant recipients.

Knowledge of grants management practices, including budgeting and compliance requirements. Strong organizational and time management skills, with the ability to handle multiple tasks simultaneously. Good communication and interpersonal skills, with the ability to interact effectively with staff, grant recipients, and external agencies. Strong attention to detail and the ability to review complex documents for accuracy and compliance. Proficiency in Microsoft Office Suite and grants management software.

A bachelor's degree in business administration, public administration, accounting, or a related field preferred. Two years of experience in grants management or related administrative support roles.

Promotion to the next classification level is at the discretion of the department and the Office of Personnel Management, taking into consideration the employee's demonstrated skills, competencies, performance, workload responsibilities, and organizational needs.
