We are looking for an experienced Payroll Specialist to join our Administrative Services team. Candidates with 5 years of hands-on payroll, accounting and benefits experience are encouraged to apply.
Prior work experience in a professional services environment for an engineering, consulting, construction management, homebuilding, or legal services firm is preferred.
A background as a Payroll & Benefits Administrator in an engineering or consulting firm is desirable.
Job Description
Working under the direction of our Administrative Services Manager onsite in our Administrative Services offices located in Pleasanton, CA, the successful candidate will process payroll, work with our HR Administrator to process employee benefits, and keep accurate records of all.
The Payroll Administrator will be expected to work closely with the firm’s administrative services team in implementing long-standing policies and procedures developed over the firm’s highly successful 70+ year history.
The team includes the department manager, HR administrator, and two accounting administrators who, together, provide administrative support services to the firm’s Principals and Board of Directors, and supporting the senior management teams and employees in each of the firm’s professional services offices so they can focus on running their profit centers.
The ideal candidate will have the ability to assist the Administrative Services Manager with digital transformation of the department.
Ad hoc responsibilities will be assigned as appropriate. Being a small team, the successful candidate will be expected to wear multiple hats to back up and support the Administrative Services team when the occasion arises.

Required Experience and Skills
The successful candidate will possess the following experience and skills :
Experience, Knowledge and Education
- 5 years of payroll experience working with employee benefits with a proven ability to administer benefit plans for health insurance, 401k, dental, vision, life insurance, etc.
- Experience in payroll processing that includes reviewing timesheets for accuracy and resolving errors as needed.
- Experience in accounting including an understanding of billing, AP, AR, GL and generally accepted accounting principles (GAAP).
- Knowledge of Unanet A / E or similar service-industry oriented accounting software desired.
- Experience in organizing and implementing compliance efforts for all local, state, and federal labor requirements.
- Knowledge of workman’s compensation, general liability, automobile, professional liability, and health insurance programs.
- Ability to be an active participant on the planning committee for the company’s annual awards banquet / employee appreciation event.
- Advanced knowledge in MS Office Word, Excel, PowerPoint and Outlook.
- Proven ability to work closely with a senior management team.
- Bachelor’s degree in business administration, human resources, accounting, or related discipline is desirable, but not mandatory.
